Position Description
We are looking for a talented Finance & Human Resource Administrator to work as part of a team amidst a whirlwind of fast-moving activities and company growth.
Positions Responsibilities
Your responsibilities will include, but are not limited to, the efficient and effective running of all aspects of Finance, HR & Administration including:
Finance & Accounts
- Assist with data entry of invoices, payments, and petty cash into accounting systems.
- Perform Accounts Payable (AP) duties for invoice and payment processing.
- Perform Accounts Receivable (AR) duties for invoicing and tracking payments.
- Maintain proper filing of finance-related documents.
- Assist in monthly statutory submissions (EPF, SOCSO, EIS, PCB, HRDC, SST).
- Support simple cash flow monitoring and reconciliations.
- Assist in preparation of documents for audit, tax, and compliance purposes.
- Assist in preparing monthly reports for management
- Any other ad-hoc duties as assigned by the management.
Human Resources
- Recruitment matters including posting job advertisements and arranging interviews.
- Prepare onboarding documents and conduct staff orientation.
- Prepare new employee applications for bank account and medical insurance.
- Update employee data in Employee Master excel list and Justlogin HR system.
- Check daily attendance record and process leave administration on HR system.
- Assist in coordinating staff training sessions, workshops, and programs.
- Participate in company training and development programs as required.
- Take part in ERT and company committees assigned.
- Assist in planning and executing staff activities, events, and engagement programs.
- Conduct offboarding and exit interview for resigned staff.
- Attend to internal and external enquiries.
- Any other ad-hoc duties as assigned by the management.
Administration
- Handle operational administration tasks.
- Oversee office supplies, uniforms, PPE, and staff amenities.
- Handle business license, insurance, and membership applications and renewals.
- Control stock of company uniforms, PPE, office supplies including staff amenities.
- Administer service providers including security, cleaning, and waste collection.
- Ensure compliance with company policies, statutory regulations and internal controls.
- Liaise with IT Support for new user setup and access.
- Handle sensitive information with confidentiality and integrity
- Any other ad-hoc duties as assigned by the management.
Reporting Structure
This position reports to the Head of Corporate Service Department.
Position Requirements
· Minimum Degree in Accounting; fresh graduates welcome (co-curricular involvement required).
· 1–3 years’ working experience in finance, HR, or administrative roles is an advantage.
· Proficient in MS Office (Word, Excel, PowerPoint).
· Experience with Justlogin HR system and Xero is an advantage.
· Simple IT knowledge is an advantage (basic troubleshooting and account setup).
· Proficient in English and Bahasa Malaysia.
· Good organization, communication, and general interpersonal skills.
· Ability to handle multiple tasks with good attention to detail.
· Positive can-do proactive attitude and willingness to learn.
