Position Summary:
Responsible for planning, preparing, coordinating, and submitting tender, quotation, and project proposal documents according to the specified guidelines and deadlines. This role requires strong communication, research, document management skills, and compliance with technical requirements and procurement regulations.
Key Responsibilities:
- Review tender/quotation advertisements and notices from various sources.
- Analyze tender documents to identify technical, financial, and administrative requirements.
- Develop work schedules and timelines for the tender preparation process.
- Gather relevant information from the technical, finance, and management teams to complete documents.
- Prepare and review drafts of technical documents, project proposals, and pricing schedules.
- Ensure all tender documents comply with the required specifications and conditions.
- Coordinate internal approvals prior to tender submission.
- Manage the submission of tenders according to the required format and deadlines (physical or online).
- Maintain comprehensive records of all tenders submitted and their outcomes.
- Support the procurement team during negotiations and tender clarification processes.
Minimum Qualifications
- Bachelor’s Degree or Diploma in Business Administration, Project Management, Engineering, or equivalent.
- At least 2 years of experience in tender/procurement management (preferred)
- Knowledge of both government and private sector procurement procedures.
- Experience in handling formal documents, researching technical specifications, and preparing proposals.
Required Skills
- Strong written and verbal communication skills in both English and Malay.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and PDF editing.
- Ability to work under tight deadlines.
- Detail-oriented and played.
- Able to work independently and as part of a team.
