We are seeking a meticulous and proactive Finance Officer to join our growing team. This role is crucial in ensuring our financial operations run smoothly across various areas, including bookkeeping, payments, invoicing, payroll, and compliance. Key Responsibilities
1. Banking & Payments
Monitor and manage daily bank transactions across multiple currencies.
Generate and share monthly bank statements with management (1st and 7th of each month).
Ensure timely payments for loans, suppliers, rentals, statutory contributions, and other operational expenses.
Save and organize all transaction slips and supporting documents in the DMS and Eximius portal.
2. Invoicing & Receivables
Issue invoices to clients and follow up on outstanding payments.
Track advance payments and reconcile against future invoices.
Coordinate with departments to ensure payment is received before proceeding with services.
3. Bookkeeping
Maintain QuickBooks records accurately, including all client and internal transactions.
Register and set up QuickBooks accounts for new clients (including multicurrency setup).
Manage client folders and documentation, including invoices, receipts, and monthly bank statements.
Support auditors with document retrieval and respond to related queries.
4. HR & Payroll Support
Register clients for SOCSO, KWSP, MyTax, and Kakitangan.com.
Enroll employees into statutory systems (if applicable).
Process monthly payroll and distribute payslips by the 25th of each month.
Submit statutory payments between the 13th–15th of the following month.
Issue EA Forms by end of February and file Form E by end of March annually.
5. Reporting & Internal Controls
Update and maintain the expenses sheet regularly.
Save all payment advices to shared folders.
Monitor and manage petty cash and credit card usage (including statements and receipts).
Prepare and support internal financial reports including half-year summaries.
Requirements
Minimum Diploma or Degree in Accounting, Finance, or related field.
2+ years of relevant experience in bookkeeping or finance operations preferred.
Proficient in QuickBooks and Microsoft Excel.
Strong attention to detail and excellent organizational skills.
Ability to multitask and work within tight deadlines.
Good interpersonal skills and team coordination.
