The Operations Manager is responsible for ensuring the smooth, efficient, and accountable running of the company’s daily operations. This role oversees systems, timelines, and team coordination across departments including finance, HR, logistics, and production. With a sharp eye for detail and a proactive mindset, the Operations Manager builds the internal backbone of the business, keeping everything structured, compliant, and on track to meet company goals.
Key Responsibilities:
Operations Management
- Manage and improve daily workflows, internal systems, and processes across departments.
- Coordinate with all departments to ensure smooth task execution and follow-through.
- Monitor and enforce deadlines, SOPs, and accountability structures.
- Ensure smooth delivery of campaigns, projects, events, or product launches.
Finance & Compliance
- Oversee e-Invoicing (Malaysia), LHDN compliance, and internal documentation.
- Track invoices, company accounts, budgets, and expenses.
- Coordinate with accountants, tax agents, vendors, and relevant authorities.
- Prepare simple reports or summaries for the CEO on financial health and priorities.
Team Coordination & HR
- Coordinate task distribution and internal communication across the team and freelancers.
- Manage HR basics: onboarding, leave tracking, performance reminders, and internal culture.
- Keep up-to-date databases of contracts, team details, and progress.
Systems & Administration
- Maintain internal tools (Google Drive, Notion, Excel, etc.) for clarity and access.
- Build and update SOPs, trackers, checklists, and resource libraries.
- Ensure all operational data is accurate, updated, and accessible to the team.
Executive Support
- Provide high-level administrative and operational support to the CEO, assisting with scheduling, communications, document preparation, and day-to-day priorities.

Requirements
- Bachelor’s degree in Business Administration, Operations Management, Management, Accounting, or a related field is required.
- Minimum 2 years of experience in operations management, executive assistance, or administrative leadership roles.
- Excellent written and verbal communication in English.
- Strong with tech tools: Notion, Google Workspace, Excel, Zoom, etc.
- Basic understanding of finance, taxes, and HR systems.
- Proactive, solution-oriented, and dependable under pressure.
- Detail-oriented, loyal, and professional.
