Job Summary


The Office Administrator ensures the efficient operation of the office by managing people, processes, and resources. This role oversees administrative functions, office maintenance, budgeting, and staff support to maintain a productive and positive work environment. The Office Administrator serves as the central point of contact for all office and facilities-related matters and supports the team in rolling out relevant related matters and supports company leadership in implementing policies and procedures relevant to office and facilities-related matters.


Key Responsibilities

  • Manage daily operations for both office and studio—stocking pantry items, tracking supplies, ensuring cleanliness, and supporting facility upkeep. Includes maintaining pantry inventory, reordering stock, and ensuring common areas are clean and well-supplied.
  • Set up workspace for new hires including laptop handover coordination with IT, preparing access cards, arranging desk/workstation setup, and onboarding materials.
  • Maintain a live list of all office and studio assets—from coffee machines to laptops and camera gear. Flag repair or replacement needs to the relevant teams.
    Liaise with vendors (cleaning crew, maintenance, delivery partners, etc.) and building management (especially for access card requests or facility-related issues).
  • Coordinate travel arrangements and accommodation bookings for staff and visiting teams.
  • Organize logistics for internal meetings, events, or team activities.
  • Support studio team by maintaining a clean, functional, and safe shooting space.
  • Maintain digital and physical filing systems and help with general admin tasks (e.g. simple reports, forms, correspondence).
  • Be the first point of contact for staff, visitors, and service providers when it comes to general office matters.
  • Support team engagement efforts—help source vendors or items for small team celebrations, holiday treats, or company events.

Required Skills and Qualifications


  • At least 2 years of relevant work experience in office administration or management
  • Strong written and verbal communication skills in English.
  • Interpersonal skills for managing staff and fostering a positive workplace
  • Proficiency in office software (Microsoft Office Suite, spreadsheets, databases).
  • Attention to detail and problem-solving skills
  • Flexibility and adaptability to changing office needs.
