DESIGNATION : Home Administrator
RESPONSIBILITIES
Home Operation
- Ensure the Home's registration complies with government and social welfare requirements
- Prepare and manage staff rosters, ensuring efficient staff performance aligned with The Salvation Army policies,including any relevant government regulations
- Participate in induction programmes for new staff and volunteers under your charge as and when required.
- Manage all aspects of the Home food requirements including preparing menus, ordering supplies (food and cleaning materials).
- Maintain cleanliness by managing staff and resident cleaning duties and coordinating periodic deep cleaning.Plan and coordinate recreational activities and outings for the residents.Coordinate medical appointments and any arising medical needs for the residents.Supervise daily reports and ensure accurate record-keeping (e.g. staff attendance, medication, discipline).Oversee visitor management and ensure compliance with policies regarding visitors to the Home.
- Coordinate with contractors and vendors as needed.Report and provide feedback on any general repairs and maintenance requirements needed in the Home to Team Leader.
- Report any staff's or residents' grievances and concerns to Team Leader.
Home Administration
- Ensure timely preparation and submission of monthly statistics and quarterly reports of the Home to Regional Programme Officer Malaysia
- Prepare and complete Residents' Review Form and contribute feedbacks on residents for the purpose of Residents' Review Board meeting agenda
- Participate and contribute towards the annual budget preparation.Manages petty cash transactions and other claims e.g. transport, uniform. grocery items, clearing of cash advance and etc.
- Responsible for checking of requisitions,compare prices, specifications, and delivery dates in order to determine the best deals among potential suppliers, selection and coordination with suppliers, preparing purchase orders and ensuring that the orders are according to the specification and quantity requested.
Other Duties
- Maintain confidentiality and security of personal data and financial information.
- Represent the Home at various committees and meetings, including fundraising efforts.
- Offer constructive feedback to management to ensure service excellence
- Contribute to budget control by managing resources effectively.
- Lead and record staff meetings, ensuring minutes are shared with RHQ.
- Actively participate in the Ipoh management team meetings.
- Maintain professional conduct in dealings with residents, families, volunteers, and colleagues.
- Represent The Salvation Army at events and donations functions.
- Attend relevant training, workshops, and conferences.Support and engage in The Salvation Army's fundraising activities.
- Undertake other duties and responsibilities consistent with the position as and when required by Regional Officer Malaysia and Team Leader.
QUALIFICATIONS
- Bachelor's degree in Social Work, Psychology, Human Services, or a elderly care related field with experience.
- Demonstrated leadership and supervisory experience in a similar setting.
- Strong administrative, organizational, and problem-solving skills.
- Commitment to elderly care principles and holistic care practices.
- Ability to work flexible hours, including on-call responsibilities.
- Proficiency in communication and interpersonal relations.In-depth knowledge of applicable laws and regulations (Malaysia Care Centre Act, etc.).
- First Aid certification and relevant elderly care training preferred.High level of integrity, empathy, and resilience in challenging situations.
OTHER INFORMATION
DUTY HOURS
The total work hours is 45 hours per week.
Under normal circumstances the hours of duty will be as follows:
9am to 6pm - Monday to Saturday (1 hour lunch break, a half weekday off per week)
Rest Day :Sunday
It will be at the discretion of your Centre/Department in charge or his/her assigned representatives to determine whether you will be required to work any of the unutilised hours according to the operational needs of the Home and within the legitimacy of the employment laws where applicable.
The program is a 24/7 community care service, hence flexibility in work arrangement, standby and on call is expected.
