Job Description
1. Perform administrative duties such as retrieving and sorting correspondence by fax, letters, e-mails and screening phone calls and to ensure the branch equipment such as fax machines, printers, photo state machines are in good condition at all time.
2. To handle customer enquiries and follow ups matters such as wrong delivery/ wrong quantity/ wrong strength/ slow delivery/ etc. and notify Branch Manager all problems /matter for further action
3. To supervise Customer Care Assistants and ensure orders from customers are processed in a Polite, Accurate and Timely Manner
4. Maintain and upkeep the premises facilities such as toilets, pantry and ensure all facilities are in good order at all time.
5. Maintain systematic filing system to ensure effective document control for easy access and retrieval.
6. To assist the Branch Manager to follow up on urgent matters requiring attention and deadlines/issues.
7. Assist and back up the Branch Manager with external parties, other subsidiaries and/or departments on matters relating to operations, administration, HR etc.
8. To assists Branch Manager with the AR and stocks and to handling complain/ enquiry from customers and any other matters arises.
9. To provide training, guidance and support other colleague as and when required and maintain proper training record for all staff in Kuching Branch
10. To prepare, update and compile the branch SOP’s as and when required and ensure proper documentation filing, keeping and for easy retrieval.
11. Any other tasks entrusted by the Branch Manager and Top Management as and when required from time to time.
Requirements
- Min Diploma in any related field preferably in Administration/Management OR SPM with 5 years experiences in related field.
- Min 5 years in administration or operations in pharmaceutical industry Training will be provided for fresh graduates.
- Good computer literacy - (MS Office, Excel, PowerPoint).
- Fluent in both in English and Bahasa Malaysia.
- Good communication skill and able to deal with all level of people.
- Familiar with the government authority procedures in Sarawak state such as PBT, Environment Department etc.
- Good leadership skill with time management skill and must be team player.
- Able to work independent with minimum supervision to meet tight deadline.
- Positive attitude with ability to detect, anticipate and recognize problem and able to work under pressure.
Job Types: Full-time, Permanent, Fresh graduate
Pay: RM1,900.00 - RM2,300.00 per month
