Your role at Exness:
The Travel Administrator plays a key role in delivering seamless travel experiences for employees and guests, ensuring adherence to travel policies, cost efficiency, and exceptional support throughout the booking journey. This role provides high-quality travel coordination, supports visa processing, ensures compliance, and helps maintain strong relationships with corporate vendors and platforms such as Travelperk.
You will:
Employee Travel Support
- Provide assistance to employees with the corporate booking tool (Travelperk) and handle inquiries via Slack and other internal channels.
- Research and propose travel itineraries and accommodation options based on employee needs and company policy.
- Coordinate with Travelperk’s VIP Service channel for complex or custom travel requests (e.g., avoiding transit visas or multi-city travel).
- Create profiles in Travelperk for external guests and manage their booking needs.
- Provide basic visa support by preparing and checking required documents for visa applications.
Travel Policy & Cost Control
- Review and audit travel bookings to ensure compliance with the corporate Travel Policy.
- Investigate cancellations or changes to bookings and take necessary actions to reduce unnecessary costs.
- Escalate issues to Travelperk to ensure proper resolution, including securing refunds or compensation where applicable.
- Process travel-related invoices from corporate vendors and ensure accurate and timely payments.
- Verify and process employee travel requests, per diems, and reimbursements through JIRA or other internal tools.
Vendor & System Management
- Liaise with corporate hotel partners to ensure rates are up to date and integrated into the booking system.
- Coordinate updates and renewals of negotiated corporate hotel rates within Travelperk.
- Contribute to initiatives that enhance the company’s travel service offerings and employee experience.
What makes you a great fit:
- Bachelor's Degree in Business Administration, Hospitality, or a related field.
- At least 2 years of experience in travel coordination, office administration, or similar roles.
- Familiarity with corporate travel platforms, ideally Travelperk, and experience managing vendor relationships.
- Has solid visa processing knowledge for most countries particularly Europe, Africa, Middle East and Asia.
- Excellent English communication skills and a customer-centric mindset.
- Highly organized, detail-oriented, and able to manage multiple tasks under tight deadlines.
- Strong working knowledge of Google Workspace or Microsoft Office tools.
