HR Executive (Malaysia)
Job Description & Requirements:
We're looking for a fun, motivated, and driven team player to join our Human Resource team on a full-time basis in Malaysia.
We offer attractive salary packages, benefits and career growth potential. The current position offered will be HR Executive (Malaysia) or such other post as determined by the Employer, its holding company or its associate or subsidiary companies (together called the "Group").
Responsibilities include:
Human Resource:
- Managing the offboarding process, including facilitating exit interviews and ensuring a smooth handover process
- Providing guidance and addressing all employee enquiries on any HR-related matters, including payroll, leave entitlements, claims, benefits and company policies
- Coordinating hiring efforts by screening resumes of potential candidates on recruitment channels and arranging for interviews with relevant personnel in the organisation
- Conducting pre-screening calls and scheduling interviews with hiring managers
- Facilitating new hire onboarding, including HR orientation session, system access and desk setup
- Ensuring employees adhere to all company policies and workplace guidelines outlined in the Employee Handbook
- Tabulating and processing payroll for full-time and part-time employees in a timely and accurate manner
- Maintaining and updating leave and attendance records in a timely manner for all employees in the organisation
- Providing support in employee relations matters, including conflict resolution, handling grievances, and disciplinary procedures in alignment with company policies and best practices
- Generating and analysing HR-related reports and metrics to support data driven initiatives
- Assisting the Country GM in drafting offer letters and contracts
- Supporting the Country GM in reviewing and updating HR policies and SOPs, ensuring compliance with Malaysian employment laws and regulations
- Maintaining, updating and filing of digital records of all employee contracts and documents
- Updating employee records in the HR database and coordinating with relevant vendors to ensure accurate and timely changes to staff information
- Supporting in the planning and execution of any company events and team bonding activities
- Reporting to superiors, directors and assisting with an other matters required
Office Management:
- Ordering office supplies, stationery, equipment and updating inventory as required
- Ordering pantry supplies, and ensuring that refreshments are well-stocked
- Ensuring office cleanliness, tidiness and maintenance
- Coordinating with service vendors on office maintenance, repair and any other relevant matters
- Maintaining first-aid kits, fire safety equipment, and liaising with building management
Skills & Requirements
- Bachelor’s Degree in Business Administration, Management or Human Resource any relevant field
- A minimum of 2 years of relevant work experience in HR
- Strong attention to detail with the ability to perform tasks with accuracy and efficiency in mind
- Excellent organisational skills and time-management skills
- Strong conflict resolution and problem solving skills
- Familiar with local labor laws, statutory requirements and HR best practices
- High levels of integrity, accountability and ability to handle confidential information
- Proficiency in Google Spreadsheets and Excel (Formulas, Vlookup and Pivotables)
- Excellent analytical skills and language proficiency
- Proficiency in Google Workspace (Docs and Gmail)
