JOB DESCRIPTION
- Oversee and monitor daily office administration, including office automation systems, stationery supplies, dispatch coordination, and personal driver arrangements.
- Manage the procurement of office essentials such as stationery, pantry and refreshment supplies, and materials or services for office maintenance. This includes sourcing operational items in compliance with ISO standards process and internal policies.
- Handle expatriate-related matters, including visa applications, work permit and maid permit renewals, FOMEMA procedures, and support for employee welfare.
- Maintain and regularly update the company’s Annual Renewal Checklist to ensure the timely renewal of business licenses, permits, and certifications.
- Support ISO-related activities, particularly documentation control and compliance tracking.
- Plan and organize staff welfare initiatives, including festive celebrations, employee engagement activities, and company events.
- Liaise with government agencies for license applications, customs documentation, and issuance of staff port passes (Northport, Westport, KLIA), as well as trailer and logistics-related requirements.
- Coordinate employee training and development by preparing training schedules (TNA), handling HRDF applications, tracking participation, and maintaining related records.
- Review, verify, and manage company utility bills to ensure accuracy and prompt payment.
- Perform any ad-hoc tasks or administrative duties as assigned by Management
REQUIREMENT
Candidate must possess at least Diploma in Human Resource Management or equivalent.
Required language(s): English, Bahasa Malaysia.
At least 1 to 2 year(s) of working experience in HR and Purchasing department.
Required Skill(s): Microsoft Office, Attendance system
Self-motivated, dynamic, proactive possess strong initiative and interpersonal skills, able to work independently with minimum supervision and deliver results.
Good analytical skills, attention to details and multi-tasking abilities.
Well verse in Malaysia Employment Act 1955 and Labour Act will be an added advantage.
