Job Description – Admin / Accounts Assistant Position Overview
We are seeking a detail-oriented and proactive Admin / Accounts Assistant to support administrative and accounts-related operations. The role involves managing invoices, assisting with payments, maintaining financial records, and coordinating with internal teams and external suppliers. The ideal candidate should have strong organizational skills, accuracy in handling financial documents, and the ability to work under minimal supervision.
Key Responsibilities
- Invoice & Payment Handling
- Maintain and update unpaid invoice files on a weekly basis.
- Assist the Accounts Payable (AP) team in executing fixed payments, cheque payments, and online transfers.
- Download payment slips from the bank portal and share them with the internal WhatsApp payment group and respective suppliers.
- File payment vouchers and record paid invoices systematically.
- Financial Record Management
- Download and save bank statements and relevant documents from email and WhatsApp.
- Ensure proper documentation and filing of financial records for audit and reference purposes.
- Reporting & Monitoring
- Check daily foreign exchange (forex) rates and update the team via the designated group.
- Support AP and management with ad-hoc administrative and finance-related tasks.
Qualifications & Requirements
- Diploma / Degree in Accounting, Finance, Business Administration, or equivalent.
- Minimum 1–2 years of experience in administrative or accounts support roles (fresh graduates with internship experience may also be considered).
- Proficiency in MS Office (Excel, Word) and familiarity with online banking portals.
- Strong attention to detail, accuracy, and organizational skills.
- Good communication skills (written & verbal).
- Ability to manage multiple tasks and meet deadlines.
Additional Skills (Preferred)
- Experience in handling AP processes (payments, vouchers, supplier coordination).
- Basic knowledge of forex rate monitoring and reporting.
- Familiarity with digital communication tools (WhatsApp, email management).
Job Type: Full-time
Pay: RM1,800.00 - RM3,000.00 per month
