Job Description:
- Proper filing of all incoming and outgoing correspondences, maintain summary registry log of all correspondences and documents and ensure easy and timely retrieval;
- To assist Project Director in preparing memo meeting for Client and Consultant;
- To assist Site Office on any admin and site matters (i.e. service and maintenance for office equipment at site office;
- To prepare payment recommendation pertaining to utilities, stationeries and other bills (site office) example: TNB, Telekom, etc;
- Create and implementing new and improving Document Management System and document management processes to manage company documents;
- Responsible for project folder set up, folder maintenance process, formulating registers and the point of contact for document, drawing number allocation;
- Liaising with and distribute project related information with the project team and potentially external parties;
- Maintain quality documentation like Documents, Drawings, RFIs, incoming and outgoing registers;
- Maintain confidentiality of sensitive documentation;
- Any ad-hoc work from time to time.
