Job Purpose
To lead and supervise a team of Operation Planners in coordinating truck and driver schedules, ensuring efficient delivery execution, compliance with regulations and high customer satisfaction. The Team Leader is responsible for optimizing planning operations, solving operational challenges and providing performance oversight for the planner team.
Key Responsibilities
- Team Leadership & Coordination
- Supervise, coach and guide a team of Operation Planners.
- Oversee daily planning activities to ensure all delivery orders are executed timely and accurately.
- Act as the main escalation point for operational issues encountered by planners, including driver shortages, delivery delays, or workshop bottlenecks.
- Allocate workload among team members to ensure balanced distribution and timely task completion.
- Conduct regular team briefings and ensure clear communication of daily targets and expectations.
- Provide on-the-job training, performance feedback and continuous improvement support to the team.
- Operational Planning & Oversight
- Review truck and driver allocations prepared by the planners.
- Monitor route optimization, delivery schedules and fleet availability to maximize operational efficiency.
- Coordinate with workshop and maintenance teams to minimize truck downtime and ensure fleet readiness.
- Supervise compliance with regulatory inspections (e.g., PUSPAKOM schedules) and internal SOPs.
- Reporting & Process Improvement
- Consolidate and review daily/weekly operational reports prepared by planners.
- Identify recurring challenges and propose solutions or process enhancements.
- Ensure accurate and timely documentation of Sales Orders (SO), Delivery Orders (DO) and other planning records.
- Cross-Functional Communication
- Liaise with the Finance Department to support smooth invoicing and commission processes.
- Collaborate with Customer Service, Workshop and Management to resolve issues and maintain service quality.
Other Responsibilities
- Monitor planner attendance, discipline and adherence to company policies.
- Handle any ad-hoc tasks or special assignments as directed by the superior.
Requirements
- Education: Diploma/Degree in Logistics, Business, Supply Chain Management, or related field.
- Experience: Minimum 3-5 years in fleet or logistics planning; prior experience leading a team is preferred.
- Skills: Strong leadership, problem-solving, analytical thinking and communication skills. Proficient in Excel and scheduling software.
- Traits: Proactive, responsible, detail-oriented and able to work under pressure.
