JOB SCOPE
Operation Admin Assistant is responsible for supporting daily operational and administrative functions to ensure smooth internal processes. Her role includes managing documents, coordinating logistics and office support, as well as facilitating communication between departments.
JOB DESCRIPTION
1. Administrative Support
· Prepare and maintain documents, records, and administrative reports.
· Perform accurate data entry and maintain up-to-date filing systems.
· Schedule internal meetings and assist with calendar coordination.
2. Operations & Logistics
· Assist in monitoring stock inventory, order processing, and deliveries.
· Coordinate with courier services, suppliers, and vendors to ensure timely delivery.
· Track warehouse movements and provide logistical support as needed.
3. Communication & Coordination
- Communicate with internal teams to ensure efficient workflow.
- Support coordination between sales, marketing, and warehouse teams.
- Respond to inquiries via email or phone relating to operations.
4. Office & Asset Management
- Monitor and replenish office supplies and operational items.
- Keep accurate records of company assets assigned to team members.
- Report any issues with office facilities or equipment.
5. Procurement & Payment Support
- Assist in generating Purchase Orders (POs) and maintaining tracking logs.
- Liaise with the accounts team on invoice submissions and payment follow-ups.
- Maintain basic petty cash records and related documents.
