Job Description:
The Program Professional will be working together with the Program Manager and team in day-to-day operations as per below:
- End to end management of contract labour requisitions and work orders via Vendor Management System (VMS) tool. Responsible for the lifecycle of each requisition and work order, as well as timesheet upload and validation of data in the VMS tool
- Responsible to manage delegated daily tasks and to complete them within stipulated timeline. One should reach out to team members for assistance should one is unable to complete the tasks.
- Manage suppliers/vendors of the client program, to work with their team to fulfil client requirements for contract workers and engaging the workers into the VMS system
- Collaborate with the client stakeholders (managers, procurement, HR, etc) for fulfilment and program process improvement and compliance
- Responsible for the supplier and TAPFIN’s invoicing process within the VMS system, creating and managing timesheets, miscellaneous invoices, expenses, credit debit memos
- Accountable for work order management; work order creation, extension, revisions and job posting/requisitions management, job posting creation, revision and approval chasing
- Manage Purchase Order (PO) creation and management during new work order creation, revision, extension, termination and/or depletion.
- Accountable and responsible for the end-to-end invoicing process as designed for the designated program, and to collaborate with relevant stakeholders.
- Responsible for the on-boarding and off-boarding process of contractors in respective VMS systems upon client confirmation and requirements.
- Actively collaborate with reporting manager for continuous improvement; identify operational issues and propose potential long-term solutions.
Report Management Run and manage required reports based on client stakeholder needs on agreed timeline and frequency. Need to be responsible for report accuracy and ensure reports are validated before submitting to recipients.
Ad-hoc support Other related tasks as and when required by reporting manager
Job Requirements:
- Open to fresh graduate
- Highly proficient in written and verbal English – additional languages are plus points
- Good communication and interpersonal skills
- Proficient in Microsoft Office suite (Word, Excel, Powerpoint)
- Willingness to learn and step out of comfort zone
- Degree holder preferred, but will consider Diploma holder
- Requirement to support Global Team – night calls
- Able to work independently, meticulous, matured and detailed in your approach to work and assignments.
- Able to effectively function under pressure in meeting deliverables and deadlines.
- Strong analytical skills with an analytical, enquiring mindset to challenge the status quo.
- Good problem-solving skills application to cross functional stakeholders

Pay: RM2,330.00 per month
