Human Resources Executive (Payroll)

To manage and execute all payroll-related functions accurately and in a timely manner, ensuring full compliance with statutory requirements, internal policies, and audit standards. The role also supports the overall HR operations in such areas as employee records, benefits administration, and reporting.

SPECIFIC DUTIES & PERFORMANCE RESPONSIBILITIES

Payroll and Compensation:

1. Manage end-to-end monthly payroll processing for all employees including basic salary, overtime, allowances, bonuses, and deductions.

2. Ensure timely and accurate submission of statutory contributions (EPF, SOCSO, EIS, PCB, HRDF, ZAKAT) and liaise with relevant government bodies.

3. Maintain and update employee salary records and payroll data in the HRIS/payroll system.

4. Process off-cycle payments such as resignations, final settlements, and adjustments.

5. Ensure payroll is compliant with local labor laws, tax regulations, and company policies.

6. Coordinate with Finance for disbursement and reconciliation of payroll payments.

7. Prepare payroll budgeting and forecasting reports for management planning purposes.

8. Calculate and compile annual bonuses, yearly increments, and ensure accurate reflection in payroll.

9. Perform annual leave accrual calculations for the following year in line with employee entitlements and company policy.

10. Participate in the implementation and calculation of Collective Agreement (CA) adjustments, including salary revisions, promotions and benefits.

11. Ensure accurate payment of all backdated entitlements arising from the CA and maintain proper documentation for audit and employee records.

Statutory and Tax Compliance:

1. Prepare and submit annual tax forms such as EA Form, CP8D, and other LHDN-related documentation.

2. Handle expatriate payroll-related matters including CP21 and CP22 submissions where applicable.

3. Manage annual tax submissions for expatriate employees whose taxes are borne by the company, including computation in accordance with LHDN requirements.

4. Manage tax clearance processes for resigning employees.

HR Operations Support:

1. Assist in maintaining accurate employee data and personnel files.

2. Provide support in employee benefits administration (insurance, leave, medical claims, etc.).

3. Assist in HR audits and ensure readiness of payroll documentation and records.

4. Prepare HR/payroll reports and statistics for management review.

Employee Engagement Support:

1. Attend to employee payroll queries in a timely and professional manner.

2. Educate employees on payroll procedures, statutory deductions, and payslip interpretation.

QUALIFICATIONS & REQUIREMENTS:

1. Diploma in Human Resource Management, Accounting, Finance, or related field.

2. At least 2-3 years of experience in payroll or HR operations; experience in the hospitality is an advantage.

3. Strong knowledge of Malaysian statutory requirements (EPF, SOCSO, PCB, EA forms)

4. Experience with HRIS or Payroll systems (e.g., Sunfish)

5. Detailed-oriented, analytical, and able to handle confidential data with integrity.

Job Type: Full-time

Pay: RM4,000.00 - RM4,200.00 per month
