Job Overview:
The General Administration & HR Executive is responsible for supporting both HR and administrative operations, with a focus on foreign worker management (permit renewals, FOMEMA, e-stamping, letter of offer), plantation HR support, payroll verification, and MSPO audit documentation. This role requires close collaboration with site HR support teams across the group to ensure compliance, timely processing, and consistency in HR and administrative practices.
Job Descriptions:
1. Foreign Worker Management
- Handle end-to-end renewal processes for foreign workers’ permits, passports, and PLKS.
- Coordinate FOMEMA medical check-ups and follow-ups.
- Submit and track e-stamping via LHDN system for new and renewed workers.
- Maintain a centralized record of foreign worker documents, expiry dates, and compliance matters, and ensure all foreign workers' working permits and passports are valid during their employment in Malaysia.
- Liaise with Immigration, FOMEMA, LHDN, and embassies.
- Prepare a letter of offer/agreement for a foreign worker (if any).
- Any other duties that assigned by immediate superior.
2. HR Support for Plantation Operations
- Assist site HR support teams in handling employee documentation, onboarding, transfers, and exits.
- Monitor HR compliance at the plantation level, ensuring adherence to labour laws.
- Support the implementation of disciplinary procedures, grievances, and employee welfare programs.
- Handling office tasks, such as filing, generating reports and presentations.
- Main point of contact to handle all immigration matters related to foreign workers and work closely with the plantation’s representative in regards to foreign workers.
- Collaborate with plantation managers, HR departments, and relevant stakeholders to understand the future needs of foreign workers.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Any other duties that are assigned by the immediate superior.
3. Monthly Salary Verification
- Collect and verify monthly attendance and OT records from plantation sites (if needed)
- Cross-check payroll inputs for accuracy before submission to the payroll/finance team.
- Flag discrepancies and coordinate with site HR support team for correction and resubmission.
4. MSPO Audit Preparation
- Maintain HR-related MSPO compliance documentation, including contracts, insurance, and training records.
- Support internal and external MSPO audit processes and ensure full audit readiness.
- Coordinate audit-related corrective actions in regards of HR mattter
5. Coordination with Site HR Teams
- Ensure ongoing communication and collaboration with related staff across all plantations and group sites.
- Provide guidance and ensure standardized HR practices across locations.
- Support HR reporting and group-wide data consolidation.
6. Talent Sourcing (As Needed)
- Assist in sourcing, screening, and shortlisting candidates for operational and plantation roles.
- Maintain a basic talent pool for foreign and local workers.
Requirements:
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or equivalent.
- Minimum 2–4 years in HR and administrative functions; experience in plantation or labor-intensive industries preferred.
- Proficient in Bahasa Malaysia and English.
- Knowledge of Malaysian labor law, immigration, FOMEMA, and e-stamping processes is an advantage.
- Familiar with the Immigration process of foreign worker will be added advantages.
- Excellent written and verbal communication skills in English and Bahasa Melayu.
- Exceptional interpersonal skills.
- Pleasant personality & strong work ethic
- Ability to work independently.
- Knowledge of basic accounts is a plus.
- Able to travel to Plantations for site inspection.
- Age below 35

Pay: RM2,200.00 - RM2,500.00 per month
