Job Summary:
The Executive, Administrative at the Center of Postgraduate Studies is responsible for providing efficient and effective administrative support to ensure smooth operations of postgraduate programs. This includes handling student records, assisting with academic processes, coordinating postgraduate events, and liaising with internal and external stakeholders to support postgraduate student lifecycle management.
Key Responsibilities:
- Provide day-to-day administrative support to the Center of Postgraduate Studies
- Maintain accurate student records, documentation, and filing systems
- Prepare letters, memos, official correspondences, reports, and meeting minutes
- Manage inquiries from current and prospective postgraduate students
- Assist with student admission, registration, withdrawal, and graduation processes
- Monitor students’ academic progression and maintain updated records
- Coordinate postgraduate course schedules, thesis submissions, and viva sessions
- Liaise with faculty, supervisors, and examiners regarding academic requirements
- Communicate academic policies, procedures, and deadlines to students
- Act as a liaison between the postgraduate center and other departments (e.g., finance, registry, IT)
- Ensure documentation is audit-ready and complies with MOHE/MQA requirements
- Assist in preparing data for regulatory reporting and institutional reviews
- Organize postgraduate events such as orientation, workshops, and colloquiums
- Provide administrative and logistical support for research-related activities
Requirements:
- Bachelor’s degree in Business Administration, Education, or a related field
- 1–3 years of relevant administrative experience, preferably in higher education
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Good interpersonal skills and ability to interact with students and staff professionally
- High attention to detail and ability to maintain confidentiality
Job Types: Full-time, Fresh graduate
Pay: RM2,500.00 - RM3,500.00 per month
