Job Description
Business & E-commerce Operations Executive
We are seeking a proactive and detail-oriented individual to join our team as an Business & E-commerce Operations Executive. This hybrid role requires a strong multitasker who can manage operational workflows across leasing, store activities, business metrics tracking, managing digital e-commerce platforms while also supporting occasional event coordination.
Key Responsibilities:
Business Operations:
Leasing Operations:
Assist in handling renewals, lease termination, and coordination with landlords or relevant authorities.
Engage in negotiations to secure leasing deals and facilitate the proper execution of necessary leasing documents.
Build and establish good relationships and cultivate a strong network with prospects and partners.
GTO Submissions:
Consolidate and verify monthly sales figures from each offline store (SG, MY, HK).
Prepare Gross Turnover (GTO) reports in line with landlord requirements and contractual obligations.
Ensure timely submission to relevant landlords, property managers, or mall management systems.
Maintain accurate records of submitted reports and ensure alignment with finance and POS data.
Liaise with retail partners, finance teams and landlords to address discrepancies or clarifications.
Annual Audited Sales Reporting:
Assist in compiling and submitting audited sales declarations for compliance and financial reporting.
Coordinate with internal finance teams and external auditors to prepare annual audited sales reports as required by landlords.
Gather and verify yearly sales data from POS systems and finance reports across all offline stores (SG, MY, HK).
Ensure sales figures align with monthly GTO submissions and resolve discrepancies before submission.
Prepare supporting documentation such as auditor’s confirmation letters, certified sales statements, and declaration forms.
Track submission deadlines specified in lease agreements and ensure timely and accurate reporting.
Business Metrics & Analysis:
Data processing and visualizations with Excel/Google Suite:
Support the maintenance and timely updating of business trackers, and ensure accurate reporting of key operational metrics for the Retail and Supply Teams.
Compile and prepare weekly/monthly reports and presentation materials as and when needed.
Improve data collection and optimise processes to ensure wider, faster, and more accurate reporting.
E-commerce Operations:
Editing & Uploading:
Edit and upload product images, descriptions and other contents onto the e-commerce platform. Ensure accuracy and consistency of products and maintain the platform's user experience and visual appeal.
Events Support (Ad-hoc):
Assist in the logistical and operational setting up and tearing down of events.
Assist in planning of marketing and promotional events.
Support event execution on-site and post-event reporting when required.
Qualifications
Requirements:
Degree in Business Administration, Operations, E-commerce, or any related field.
1–3 years of experience in business operations, retail management, or E-commerce preferred.
Strong proficiency in Microsoft Excel, data tracking tools and familiarity with E-commerce platforms.
Fluent in English.
Good time management.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal skills.
Ability to multitask and adapt in a fast-paced and dynamic environment.
Able to commute office located in Kuala Lumpur
Location: Kuala Lumpur
Working Hours: 10AM - 6PM
