About the role
We are seeking a reliable and well-organized Admin Executive to manage and support essential office operations. This position is ideal for someone with strong coordination skills, attention to detail, and the ability to manage routine administrative processes efficiently.
You will be responsible for maintaining smooth internal operations, supporting day-to-day tasks across departments, and ensuring a well-functioning and compliant workplace.
Key responsibilities
Office Administration
- Oversee daily administrative operations such as mail handling, front desk duties, and general office upkeep.
- Coordinate with vendors and service providers to ensure timely delivery of office services and supplies.
- Maintain organized filing systems (digital and physical) for easy retrieval of company documents and records.
- Monitor inventory of office supplies and prepare purchase requests as needed.
Internal Support & Coordination
- Assist different departments with administrative needs, such as printing, data entry, or document formatting.
- Track and support routine operational tasks like attendance logs, courier dispatches, and general record updates.
- Coordinate internal maintenance or service requests with building management or external providers.
- Help organize internal events such as team briefings or compliance sessions by preparing necessary materials or room setup.
Documentation & Compliance
- Ensure company records, contracts, and policy documents are current and stored securely.
- Support internal audits by maintaining and preparing necessary administrative files or checklists.
- Assist with basic reporting needs, including updating spreadsheets or compiling routine summaries.
- Help monitor and flag contract expiry dates, service renewals, and compliance deadlines.
Requirements:
- Possess at least Diploma in business administration, Marketing, Communications, or a related field.
- At least minimum 2 years of experience in an administrative or office support role.
- Must possess own transportation.
- Excellent communication skills in English.
- Tech-savvy with proficiency in Microsoft Office and Outlook.
- Must know SQL for basic data queries and reporting tasks.
- Able to work independently and handle confidential matters with absolute discretion.
