About the Role
We are seeking a highly organized, proactive, and reliable Admin cum Personal Assistant to the CEO to provide day-to-day administrative and executive support. This hybrid role involves handling general office administration while also serving as the right hand to the CEO in scheduling, documentation, and internal coordination.
You will play a critical role in ensuring smooth daily operations, managing confidential information, and professionally representing the CEO in both internal and client-facing contexts.
Key Responsibilities
Administrative & Office Support:
- Manage office administration tasks, including inventory, office supplies, vendor coordination, and facilities upkeep.
- Support daily office operations and ensure a tidy, efficient work environment.
- Handle incoming correspondence, manage filing systems, and maintain organized company records.
Executive Support to CEO:
- Maintain the CEO’s calendar: schedule internal/external meetings, appointments, and reminders.
- Coordinate executive travel arrangements, including flights, hotels, visas, and ground transportation.
- Prepare expense claims, monitor reimbursements, and ensure proper documentation for financial processes.
- Draft emails, letters, and meeting minutes on behalf of the CEO.
Client & Internal Liaison:
- Represent the CEO professionally in client interactions, events, or internal communications.
- Act as a liaison between the CEO and other departments (HR, Finance, Marketing, Legal) to follow up on tasks and initiatives.
- Assist in organizing meetings, preparing presentation decks, and coordinating logistics for company or client events.
Project & Event Coordination:
- Assist with planning and execution of internal and external events, meetings, festive functions, or special projects.
- Support the CEO in organizing corporate gifts, branding gestures, and key festive arrangements.
- Conduct research or manage special requests related to both business and personal matters.
Requirements:
- Minimum Diploma in Business Administration, Communications, or a related field.
- 2-3 years of relevant experience as an Admin, PA, or Executive Assistant.
- Strong communication skills in English and Mandarin (written and verbal).
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Outlook.
- Highly organized, detail-oriented, and capable of managing multiple priorities.
- Must have own transportation.
- Able to work with discretion and handle confidential information with integrity.
- Comfortable working independently in a fast-paced, dynamic environment.
