Job Requirements
- Minimum Diploma in Engineering, Business Administration, or related field.
- At least 2 years of experience in project coordination, technical administration, or related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Detail-oriented, proactive, and able to work under pressure.
Job Responsibility
- Production:
o Coordinate and support the daily operations within the Technical Department.
o Assist engineers with project planning, execution and reporting.
o Prepare, review and maintain project documents, reports and records for accuracy and completeness.
o Perform accurate data entry into relevant systems (ERP/MRP/Excel).
o Follow up with suppliers and other departments on project-related matters, including pending deliveries and outstanding tasks.
o Monitor project timelines, highlight potential delays and escalate issues when necessary.
o Assist in preparing presentations, proposals and technical submission reports.
o Handle clerical duties such as filing, photocopying and managing correspondence, including emails and memos.
o Perform daily checks on departmental attendance, leave applications, duty rosters and other HRMS-related activities.
o Ensure all documentation required by IATF, ISO, and other compliance standards is properly maintained and updated.
o Assist in issuing and receiving job orders or production documents.
o Support purchasing activities, including requisitions, follow-up and filing of delivery orders (DOs), invoices and related documents.
o Liaise with other departments (e.g., Marketing, QA, Production, Purchasing) for smooth administrative coordination.
o Support basic measurement, data collection, and monitoring tasks (where applicable).
o Perform any other duties as assigned by the Manager.
- Quality: To monitor, control, and ensure the production process in high-quality standards of products in accordance with the Customer’s expectations including customer specification requirements, and quality compliance to ISO 9001 and IATF 16949 Standards and ensure effective implementation in the plant. To ensure accuracy and quality are monitored to avoid customer complaints on quality issues, packing issues, or delivery-related issues.
- Safety, Health & Environmental Management System (SHEMS): Ensure compliance with Company’s and Corporate policies, ISO 14001 & 45001 Standards, Statutory requirements, and internal/external compliance (Social Audit, JKKP, DOE, DOSH & etc.). Ensure the provision and maintain the working environment for employees is practicable, safe, and without risks to Safety, Health, and Environment. Ensure 5S, housekeeping, improvement activities, and handling of scheduled waste are practiced all the time.
