The Procurement Executive is responsible for supporting the sourcing and purchasing of materials and products needed for fashion production, especially for seasonal and festive collections. This role involves working closely with suppliers, preparing purchase orders, tracking deliveries, and helping to control costs. It also includes monitoring stock levels, ensuring timely shipments, and following customs and import regulations.
Key Responsibilities
1. Procurement Data & Reporting
- Analyze purchasing data to support better buying decisions.
- Create reports on cost savings, lead times, and stock levels.
- Help forecast future material needs with production and merchandising teams.
2. Vendor & Cost Management
- Compare suppliers based on pricing, quality, and reliability.
- Support cost analysis to help select the best vendors.
- Monitor currency rates and material price trends.
3. Seasonal Planning Support
- Work with design and production to plan material needs for festive collections.
- Ensure materials arrive on time for seasonal launches and sales events.
- Help avoid delays by monitoring lead times and stock levels.
4. Import & Customs Compliance
- Prepare and review customs documents for imported goods.
- Track duties and taxes to keep costs accurate.
- Coordinate with freight and customs agents for smooth delivery.
5. Inventory & Order Tracking
- Work with warehouse teams to keep stock at healthy levels.
- Follow up on purchase orders and delivery timelines.
- Help keep procurement and inventory data accurate and aligned.
6. Supplier Performance Monitoring
- Track supplier performance and delivery timelines.
- Maintain supplier scorecards for regular reviews.
- Support action plans for suppliers needing improvement.
7. Finance & Cost Control
- Collaborate with Finance to budget and track procurement costs.
- Assist with invoice matching and payments.
- Help with audits and cost forecasting.
8. Team Collaboration
- Coordinate with merchandising, finance, and production to align plans.
- Join cross-functional meetings to solve sourcing issues.
9. Compliance & Record Keeping
- Ensure all procurement activities follow company and legal standards.
- Keep organized records of orders, contracts, and documents.
Qualifications & Skills
- Bachelor’s degree in Supply Chain Management, Business Administration, Procurement, or a related field
- 2–3 years of relevant experience in procurement, supply chain, or sourcing (retail or fashion industry preferred)
- Knowledge of procurement processes, supplier management, and inventory control
- Familiarity with customs regulations and import/export procedures is an added advantage
- Proficiency in Microsoft Excel, procurement software or equivalent
- Strong understanding of purchasing workflows, sourcing strategies, and cost analysis
- Strong negotiation and communication skills when dealing with suppliers
- Basic understanding of customs duties, tariffs, and import documentation
- Ability to work independently and handle multiple tasks under tight timelines
- Team player with good problem-solving and decision-making skills
Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM3,500.00 per month
