We’re looking for a highly organized, team-oriented, and proactive Operations Admin Assistant to support our fast-paced logistics and operations team. If you excel under pressure, communicate effectively, and have the potential to grow into a leadership role, we’d love to hear from you.
Job Responsibilities
- Handle and monitor incoming inventory and job orders, such as shipment orders, request for deliveries (RFD), and lifting operations.
- Coordinate with the warehousing and operations teams to fulfill client orders.
- Arrange and schedule delivery of goods with the operations team.
- Perform regular inventory checks and assist with warehouse audits.
- Tally vendor invoices and delivery notes (DN) against completed jobs.
- Perform accurate data entry of job details, such as truck arrangement, delivery schedules, job completion status) into logistics system for internal tracking, billing, and reporting.
- Prepare summary reports and support data for analysis and reviews.
- Report directly to Assistant Managers and the Operation Managers.
- Liaise with the billing department regarding job details and invoicing.
- Occasionally dealing with Ad-hoc administrative tasks requested by Superiors.
Key Skills & Requirements
- Minimum Diploma qualification in a relevant field.
- Relevant work experience in logistics, administration, or operations is preferred.
- Computer savvy and experienced in using logistics or ERP software.
- Strong communication skills; able to work closely with different departments and external partners.
- Friendly and approachable personality.
- High attention to detail and precision in task execution.
- Excellent time management and ability to prioritize tasks.
- Disciplined, independent, and reliable with minimal supervision.
- Strong problem-solving skills and a proactive mindset.
- Strong sense of urgency and the ability to meet tight deadlines.
