Requirements
Education:
- Diploma or Degree in Business Administration or any related field.
Experience:
- Minimum 2 years of working experience in administrative or clerical roles.
Languages:
- Fluent in Bahasa Malaysia and English (spoken & written).
Skills & Qualities:
- Good communication and organizational skills.
- Basic computer literacy (Microsoft Word, Excel, Email).
- Ability to multitask and work under pressure.
- Responsible, proactive, and eager to learn.
- Ability to communicate effectively and coordinate schedules across departments.
Responsibility
Job Purpose
To support the daily administrative operations of the organization by handling general office tasks, maintaining records, coordinating internal processes, and ensuring a smooth and efficient workplace environment.
Key Responsibilities
Office Administration
- Maintain and organize office files and records (both physical and digital).
- Ensure office supplies are adequately stocked and reorder when necessary.
- Oversee the cleanliness and functionality of office equipment and facilities.
Clerical Support
- Perform general clerical duties such as photocopying, scanning, mailing, and filing.
- Handle incoming and outgoing correspondence (letters, emails, packages).
Scheduling & Coordination
- Assist in scheduling meetings, booking rooms, and notifying relevant parties.
- Coordinate internal office activities and calendars.
Data Entry & Documentation
- Enter and update information into company databases or spreadsheets.
- Prepare simple reports, forms, and internal documentation as required.
Communication
- Act as a point of contact for internal departments and visitors.
- Answer and direct phone calls and respond to basic inquiries.
Record Keeping
- Maintain accurate logs and records (e.g., inventory).
- Ensure documents are filed and stored properly for easy retrieval.
Support to Other Departments
- Provide administrative support to various departments when needed.
- Assist in organizing company events or staff activities.
