The Business Admin Executive for beauty brand plays a pivotal role in supporting business operations, with a specific focus on digital marketing, e-commerce, and online platform management. This position is responsible for ensuring operational excellence through efficient administrative coordination, sales support, procurement tracking, documentation control, and hands-on involvement with packing and delivery processes. The role serves as a central communication hub between departments to facilitate smooth workflows and effective execution of business strategies.

ESSENTIAL FUNCTIONS

1. Manage daily office and business administrative tasks, including correspondence, documentation, filing systems, and recordkeeping to support digital marketing initiatives.

2. Prepare business reports, presentations, and meeting materials for internal and external stakeholders, emphasizing digital marketing and e-commerce performance.

3. Handle and maintain confidential business documents and agreements with a high level of integrity, especially in relation to online activities.

4. Assist in sourcing and procuring materials, packaging, and product components, with an emphasis on e-commerce packaging requirements.

5. Monitor inventory levels, update stock sheets, and coordinate with warehouse/logistics teams for timely replenishment and delivery of online orders.

6. Maintain accurate records of supplier invoices, purchase orders, and delivery timelines, ensuring alignment with e-commerce operations.

7. Liaise with the e-commerce and retail sales teams to ensure accurate order processing, invoicing, and delivery coordination for online sales.

8. Support backend fulfillment processes, including packaging requests, shipping documentation, and courier arrangements, specifically for online orders.

9. Track daily sales performance reports for e-commerce platforms and highlight anomalies to management for prompt action.

10. Respond to customer inquiries professionally through email, phone, or social media, particularly in relation to online orders and services.

11. Handle customer complaints or returns with respect and urgency, ensuring a positive experience in digital transactions.

12. Coordinate feedback collection and contribute ideas for enhancements in customer service and e-commerce strategies.

13. Support the Finance Department in processing supplier payments, staff claims, and petty cash reconciliations, with a focus on e-commerce-related finances.

14. Assist in maintaining a filing system for financial documentation, invoices, and monthly expenses related to digital marketing and e-commerce.

15. Assist in executing marketing campaigns, product launches, influencer collaborations, and online content scheduling for e-commerce platforms.

16. Collaborate with the marketing team to compile campaign results and update media assets as needed for online promotions.

17. Serve as a liaison between internal departments such as sales, marketing, finance, and logistics to ensure smooth workflows and effective online platform operations.

18. Track deliverables and deadlines across digital marketing and e-commerce projects, proactively following up with responsible parties.

19. Ensure compliance with company policies, standard operating procedures (SOPs), and regulatory requirements related to product handling, transactions, and digital documentation.

20. Perform any ad-hoc tasks assigned by the Director, especially related to start-up initiatives and online growth strategies.
