Job Description
In your new role you will:
- Facilitating Departmental Communication and Stakeholder Engagement
- Develop and maintain a stakeholder matrix to identify key stakeholders, communication preferences, and areas of influence.
- Ensure consistent and timely updates to stakeholders through reports, bulletins, and targeted communications.
- Promote knowledge sharing and coordination across internal teams and external stakeholders.
- Act as a central communication hub to align departmental goals with organizational strategies.
- Develop and maintain a stakeholder matrix to identify key stakeholders, communication preferences, and areas of influence.
- Leading Staff Meetings and Team Coordination
- Organize and lead recurring staff meetings to monitor project progress, address concerns, and establish priorities.
- Foster open communication and a culture of feedback within the team.
- Accurately record meeting minutes, assign action items, and ensure effective follow-up on deliverables.
- Coordinate cross-functional initiatives to support departmental collaboration and execution.
- Organize and lead recurring staff meetings to monitor project progress, address concerns, and establish priorities.
- Designing and Delivering Internal Workshops
- Partner with leadership to identify training needs aligned with strategic and operational goals.
- Plan and deliver internal workshops in areas such as:
- Strategic planning and goal-setting
- Operational efficiency and process improvement
- Change management and deployment
- Facilitate group exercises and team discussions that encourage collaboration, creative thinking, and problem-solving.
Measure the effectiveness of workshops and adjust delivery for future improvements.
- Partner with leadership to identify training needs aligned with strategic and operational goals.
Your Profile
You are best equipped for this task if you have:
- Bachelor’s degree in Business Administration, Engineering, Communications, or a related discipline.
- Minimum of 3–5 years’ experience in a relevant role such as Project Coordinator, Operations Specialist, or Team Lead.
- Proven experience organizing and facilitating staff meetings, training sessions, and cross-departmental workshops.
- Demonstrated ability in stakeholder communication and internal engagement.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Gmail).
- Familiarity with project management platforms such as Asana, Trello, or Jira.
- Skilled in using digital communication and collaboration tools like Microsoft Teams or Slack.
- Fluent in English (written and spoken).
- Additional language proficiency is an advantage based on company operations.
- Strong communication, presentation, and interpersonal abilities.
- Highly organized with excellent time management and multitasking skills.
- Capable of working independently and collaboratively in a dynamic environment.
- Analytical and solution-oriented, with a keen eye for detail.
- Resilient and adaptable in managing shifting priorities and tight deadlines.
