Duties and Responsibilities:


Employee Administration:
  • Ensures effective and cost-effective HR employee administration
  • Custodian of HR Employee Master Database
  • Assist and support Reward & Compensation initiatives
  • Assist and support Welfare initiatives.
  • Assist in the rollout and implementation of HR programs.
  • Assist in various HR projects and continuous improvement initiatives.
  • Assist in employee administration duties where required.

Personal Accidents:
  • Updating staff personal accident insurance (joiner/leaver) with the insurance agent
Payroll
  • Assist in registration of new joiners in the payroll system
  • Compile and verify the monthly claim and expenses form for payroll purposes
  • Assist in the payroll process where required.

Recruitment:
  • Manage the recruitment for Grade 1 to 2B positions as required.
  • Assist our Talent Acquisition team where required.

Training and development:
  • Assists with the training plans and process as required.
  • Assist in the HRDF application for grants, claims, and levies.

Performance Management:
  • Assists with the performance management process
Headcount & Attendance
  • Prepare a report related to headcount and staff movement.
  • Assist in creating access, generating reports, and resolving issues related to the Attendance system.

Bamboo (internal system) / Leave Management:
  • Assist in leave management and reports.
  • Assist in Bamboo administration.
  • Ensure all staff data is complete and synchronized.

Administration:
  • Assist IT Analyst/Support, including PC access, raising an IT ticket to the helpdesk.
  • Manage office supplies, sundries, and safety items, and manage office premises cleanliness and proper upkeep.

Others:
  • Ensure strict compliance with all relevant safety, quality, and environmental procedures in accordance with Inchcape Quality Management System and Inchcape Health and Safety Environment policies and procedures to deliver the highest quality services to the customers.
  • Assist in various HR projects and continuous improvement initiatives.
  • Ensure compliance with Data Privacy and Protection Guidelines.
  • Assist with any other HR projects as required.
  • Assist with any instructions given by the supervisor or any HR lead.

Skills:
Quick thinking
Proficient with MS Office Package
Able to work in a fast-paced environment where each day brings new challenges
Good verbal and written communication skills
A self-starter, able to deliver against the necessary tasks agreed, on time & with quality. Excellent work ethic and grounding of discretion and confidentiality.
Able to accurately administer employee data.

Experience:
Fresh graduate or 1-2 years of suitable HR Administration experience, preferably in a shipping/port services environment.
Possess a current driver’s license
