Job Scope / Responsibilities:
- Service Coordination:
- Manage daily service requests from customers, ensuring prompt and effective response.
- Schedule and coordinate service jobs for the technical team (mechanical and electrical), optimizing the team’s availability.
- Track ongoing and completed service jobs using Excel-based trackers, ensuring all records are updated accurately.
- Spare Parts Coordination:
- Assist in preparing spare parts quotations for customers.
- Follow up on spare parts deliveries and liaise with suppliers when needed
- Maintain an overview of critical spare parts in stock.
- Customer Communication:
- Act as the primary point of contact for service-related issues, ensuring clear and professional communication.
- Update customers on job progress and ensure all job details (e.g., site visit, repairs, maintenance) are documented clearly.
- Documentation & Reporting:
- Prepare service reports, job sheets, and invoices (with assistance from the accounts department).
- Maintain accurate service records for internal and customer reference.
- General Admin & Support:
- Support the sales and technical team with related administrative tasks when needed.
- Assist in processing warranty claims with suppliers and coordinating warranty documentation.
Requirements:
- Experience in a service coordination role, preferably in an industrial or technical setting (doesn’t have to be the same industry).
- Strong organizational and communication skills.
- Proficient in Microsoft Office (Excel, Word, etc.).
- Ability to manage multiple tasks in a fast-paced environment.
- Comfortable dealing with customers and coordinating with technical staff.
- Basic technical understanding (training provided for specific machinery and processes).
