- Assist the Company Secretary in managing and maintaining all statutory records and documents.
- Prepare board resolutions, minutes of meetings, and other secretarial documents.
- Ensure timely lodgement of statutory forms and documents with the Companies Commission of Malaysia (SSM) and other relevant authorities.
- Maintain and update the register of shareholders, directors, and secretaries.
- Organize and coordinate Board of Directors’ meetings, Annual General Meetings (AGMs), and Extraordinary General Meetings (EGMs).
- Liaise with clients, auditors, regulators, and other external stakeholders on secretarial matters.
- Ensure compliance with the Companies Act 2016, relevant regulations, and best governance practices.
- Assist in drafting and reviewing legal and corporate documents.
- Support incorporation of new companies and striking off/dissolution of dormant companies.
- Perform ad-hoc administrative and secretarial tasks as assigned by the Company Secretary.
Requirements:
- Diploma / Degree in Corporate Administration, Business, Law, or equivalent.
- Preferably a student or graduate from MAICSA / ICSA or equivalent qualification (optional for entry-level).
- Minimum 1–2 years of experience in a company secretarial firm or corporate secretarial role (fresh graduates are welcome to apply for junior roles).
- Good understanding of Companies Act 2016 and other relevant laws.
- Proficient in MS Office (Word, Excel, PowerPoint) and familiar with MyCoID/MBRS (added advantage).
- Strong attention to detail, organizational, and communication skills.
- Ability to handle multiple tasks and meet deadlines with minimal supervision.
- High level of integrity, professionalism, and confidentiality.
