Job Summary
As the BD Business Support Executive, you will support the Business Development team in managing franchise documentation, coordinating prospect communication, handling licensing and leasing processes, and ensuring all legal and operational paperwork is accurately maintained. You will play a critical role in Happy Potato’s franchise expansion by streamlining backend processes and ensuring compliance across all new outlets and legal engagements.
Key Responsibilities
1. Franchisee & Business Documentation
- Prepare and organize key business and franchise documents:
- Letter of Intent (LOI)
- Franchise Offer Letters
- Franchise Agreements
- Leasing Offers (LOO, Tenancy Agreement)
- Coordinate document stamping and signing processes with all stakeholders
- Maintain a structured filing system (both physical & digital)
2. Leasing Support & Legal Coordination
- Contact leasing agents, landlords, and mall management to source new lots for outlet expansion
- Support in reviewing basic lease terms before legal vetting
- Ensure proper documentation and legal compliance of all tenancy-related agreements
- Coordinate with legal advisors on franchise and tenancy matters when required
- Keep updated records of all legal documents and renewals
3. Prospect & Franchisee Coordination
- Follow up with all franchise prospects from inquiry to agreement signing
- Track lead status, appointments, and outcomes for BD pipeline reporting
- Assist in preparing onboarding materials and checklists for new franchisees
4. Licensing & Store Setup Application
- Assist in applying for new store-related licenses:
- Business license
- Signboard license
- Food handling & premise license
- Ensure complete and timely submission of required documents
- Monitor progress and ensure timely approvals with relevant councils or authorities
5. Communication & Timeline Follow-up
- Professionally communicate with landlords, franchisees, prospects, and internal teams via email, WhatsApp, and calls
- Follow up on important deadlines, approvals, and sign-offs
- Set reminders for license renewals, tenancy expiry, and legal deadlines
6. Team Support & Event Coordination
- Provide daily administrative support to BD team members
- Assist during events, fairs, and campaigns (e.g. franchise expos or mall openings)
- Weekly reporting of task status, leasing progress, and new lot developments
7. Commission & Conversion Tracking
- Track franchise deals from lead to conversion
- Work with BD Project Manager to ensure accurate commission records for eligible team members
Requirements
- Diploma/Degree in Business Administration, Marketing, Real Estate, or equivalent
- 1–2 years experience in admin, BD, leasing, or franchise support (F&B preferred)
- Good understanding of retail or mall leasing processes
- Detail-oriented, well-organized, and strong in follow-up
- Tech-savvy with proficiency in Microsoft Office & Google Workspace
- Excellent communication in English & Bahasa Malaysia (Mandarin is an advantage)
- Responsible, fast learner, and able to work independently in a fast-paced team
Job Type: Full-time
Pay: RM3,000.00 - RM3,500.00 per month
