Key Responsibilities:
- Manage the Executive Director’s calendar, meetings, travel arrangements, and communications.
- Prepare reports, memos, presentations, and other documents for internal and external use.
- Handle confidential information with integrity and discretion.
- Organize and prioritize incoming information, ensuring the ED is well-prepared for meetings and deadlines.
- Operational & Administrative Support
- Assist with coordination of cross-functional projects, especially between culinary, operations, and marketing teams.
- Track and follow up on key initiatives, business development tasks, and departmental goals.
- Support the ED in vendor management, including contracts, negotiations, and performance reviews.
- Maintain and organize files, records, and documentation.
- Communication & Coordination
- Act as a gatekeeper and liaison for the ED with internal staff and external stakeholders.
- Attend meetings, take minutes, and follow up on action items.
- Draft professional correspondence and ensure timely responses to inquiries.
- Coordinate event logistics for executive meetings, board meetings, or corporate functions.
Qualifications: -
- Bachelor’s degree in Business Administration, Hospitality, or related field preferred.
- 3+ years of experience in executive or administrative support, preferably in the food and beverage or hospitality sector.
- Skills & Competencies
- Exceptional written and verbal communication skills.
- English,Mandarin,BM
- Proficient in Microsoft Office Suite and scheduling software (e.g., Outlook, Excel, PowerPoint).
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines under pressure.
- Understanding of food and beverage industry operations is highly desirable.
- Office-based with occasional visits to restaurant or production sites.
- May require extended hours or weekend availability based on business needs
