We are seeking a proactive and detail-oriented Assistant Manager to support the Registry department, with also focus on exam coordination, while also overseeing key registry operations and student administrative services. This role is vital in ensuring smooth academic processes and an efficient, student-focused administrative environment.
Key Responsibilities
Examination Management :
- Oversee end-to-end examination operations, including paper collection, moderation, secure printing, scheduling, and logistics.
- Manage the setup and conduct of exams, liaising with academic teams, invigilators, and students.
- Ensure timely release of exam dockets and proper record-keeping of results and assessments.
- Prepare reports and documentation for the Board of Examiners (BOE) and manage post-exam processes such as result release, appeals, and endorsements.
- Maintain high standards of confidentiality and compliance with internal policies and MQA/MOHE regulations.
Registry Operations & Student Life :
- Manage and update student records, enrollment status, credit transfers, and graduation tracking.
- Process documentation for student funding (PTPTN, EPF), scholarships, and invoicing.
- Support the planning and coordination of convocation and student-related events.
- Collaborate with academic departments and provide administrative support across the student lifecycle.
- Assist in audits and reporting for quality assurance and regulatory purposes.
- Handle student queries and ensure a responsive, service-oriented experience.
Requirements
- Bachelor’s degree in Education Administration, Business, or a related field.
- Minimum 3 years of experience in higher education, preferably with exposure to both exam coordination and registry functions.
- Familiarity with academic processes, regulatory compliance (MQA/MOHE), and student funding systems (PTPTN, EPF).
- Strong attention to detail and ability to manage sensitive information with confidentiality.
- Good interpersonal, communication, and problem-solving skills.
- Proficient in MS Office; experience with CRM or student information systems is an advantage.
