Job Summary
The Administrative is responsible for providing high-level administrative support to the organization. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various office tasks to ensure efficient operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and the capacity to handle multiple tasks simultaneously.
Key Responsibilities
- Administrative Support:
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle confidential and sensitive information with discretion.
- Office Management:
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Monitor inventory of office supplies and the purchasing of new materials, ensuring adherence to budget constraints.
- Liaise with vendors and service providers to ensure smooth operations.
- Communication:
- Act as a point of contact for internal and external clients, managing communication and inquiries.
- Draft and distribute emails, memos, and other forms of communication on behalf of the executive team.
- Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, scheduling, and arranging logistics.
- Record and distribute meeting minutes and follow up on action items.
- Data Management:
- Maintain electronic and paper filing systems, ensuring accuracy and easy retrieval of information.
- Assist in the preparation and dissemination of reports, presentations, and other documentation.
- Special Projects:
- Assist in planning and executing special events, projects, and initiatives as assigned.
- Support various departmental projects and initiatives as needed.
Qualifications
- Education:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Experience:
- Proven experience as an Administrative Executive, Assistant, or similar role.
- Experience in managing multiple tasks and priorities in a fast-paced environment.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
