Registrar
- Responsible for the students’ admissions and graduation process.
- Carry out routine administration records at registrar’s office.
- Answering all the enquiry of student parents included students school fees matters, school transport arrangement and so on.
- Ensuring records are updated with new grades, attendance, finances, etc.
- Cooperate with marketing team regarding student enrolment matter.
Communication with Liaison
- As the circulation of information amongst staff, students and their parents are the responsibility of a school administrator. Often this involves the distribution of written information, so being able to write clearly and effectively is important.
- Responsible to liaise with other institutions, external agencies and local authorities.
Others administrative task
- Maintain good attendance record of students.
- Tabulating internal examinations (Mid-Year & Year End), Timetabling, Exam scopes, assisting Exam papers printing, Examination Kit & its filing.
- Responsible for academic related letters to notify the parents & its filing.
- Create the academic calendar, teacher time table, lesson time table, teacher duty roaster, annual calendar of event, and so on.
- As a key person to handle school security, maintenance and cleaning matters.
- Handling staff meetings, meetings of school governors, and school committees and boards, with tasks including organising and circulating information about the meeting, the preparation and distribution of agendas before the meeting, minute-taking, record meeting attendance and distribution of minutes and action points after the meeting.
- Co-ordinating the recording or collation of information from registration, absences, assessments and examinations.
- Preparation of reports and statistics for analysis purpose such as student attendance report, discipline analysis report.
- Involving in any form of arrangement regarding to transportation, entertainment tickets or accommodation arrangement for school trips, or helping to organise the PTA, where applicable.
- Handling bus dismissal matter for all students.
- Operate and maintain office machinery, including copiers, fax machines and printers.
- Ensure all transactions tally at the end of the work day.
- Perform bookkeeping and banking transactions, including the collection, counting, and disbursement of money.
- Maintains historical records by designing a filing and retrieval system; keeping past and current records.
- Assist to print for teaching materials.
- Support for student information input and collection of funds and issue of receipt.
- Prepare all related documents for submission of students’ visa applications.
- Prepare official documents and be a liaison with various relevant ministries and governmental agencies/officials and governmental visits.
- Handle the whole process of getting permits, licenses in related to the nature of the group business; this includes MOE submissions and approvals,
- Responsible for company insurance and the processes for the school building and students etc.
- Maintain and monitor stationery supplies and stocks.
- Coordinate courier and delivery services related to academics.
- Ensure all office bills are paid on time and follow up efficiently and timely.
- Perform any other duties relating to the above as may be assigned by the supervisor from time to time.
Requirement:
- Possess at least Diploma in Administration or any relevant qualification in related field.
- Minimum 1–2 years of work experience preferred, especially in an international school setting. Fresh graduates are welcome to apply.
- Good personal etiquette and positive customer service attitude.
- Computer competency.
- Polite and pleasant demeanour.
- Able to multi-task and handle completing priorities.
- Solid communication skills.
- Attention to details and follow up.
- Able to multitask and cope with a degree of pressure at peak times.
- Hands on experience with MS Office; Word, Excel, PowerPoint
