Job Description /Function :
A document controller administrator is responsible for the efficient management and control of an organization's documents, both electronic and hard copy. This role involves tasks like organizing, filing, storing, and retrieving documents, as well as ensuring document accuracy, version control, and timely distribution.
Document Control Duties :
1. Document procedure :
Handle general office administrative task including filling,scanning,photocopying,printing, collecting, reporting, distribution, reconciling, data entry, record keeping, processing and uploading documents as per set system procedures.
2. Document Control & Tracking :
Maintain, and control all documentation (incoming and outgoing) for physical and digital filing system for all department.Ensuring documents are properly classified, organized, and stored for easy retrieval.
3. Record Keeping:
Maintaining accurate and up-to-date records of all documents. Record all incoming and outgoing mail, and ensure that documentation is stored securely, following the company's data management procedure.
4. Document Management:
Implements and maintains a system for organizing and storing project documents, including drawings, contracts, and reports.
5. Quality Assurance:
Ensuring documents meet specified quality standards, including format, accuracy, and version control. Ensure proper documentation and version control for all project files, contracts, and regulatory documents.
6. Access Management:
Controlling access to documents based on user permissions and organizational policies. Liaise with relevant departments to ensure document compliance and audit readiness.
7. Workflow Management:
Managing document workflows, including routing documents for review, approval, and distribution.
8. Administrative Support:
Providing general administrative support to the team or organization, such as managing calendars, scheduling appointments, and preparing correspondence.
9. Technical Support:
May involve using document management systems, software, and other technologies.
10. Registration of all product for the MDA application and assist all aspect of MDA documentation.
11. Perform any other tasks as assigned by superior.
12. Assist in preparing reports and other documents for management review.
