Job Description: Finance & Admin Executive

Department: Finance & Administration

Reports To: Managing Director

Location: Puncak Alam

Job Summary

We are seeking a well-organized and detail-oriented Finance & Admin Executive to manage a full spectrum of finance and administrative functions. This role will be responsible for Accounts Payable, Accounts Receivable, Purchasing, Payroll, and Administrative Support, ensuring accurate and timely financial transactions and smooth daily office operations.

Key Responsibilities1. Accounts Payable (AP)

· Process supplier invoices, utility bills, staff claims, and other payments.

· Match invoices with purchase orders and delivery notes.

· Prepare and schedule payments via online banking/cheque.

· Maintain AP aging and vendor records.

· Reconcile supplier statements and resolve discrepancies.

2. Accounts Receivable (AR)

· Issue customer invoices and credit notes accurately and timely.

· Monitor customer payments and follow up on outstanding receivables.

· Apply customer payments and maintain updated AR aging reports.

· Liaise with sales and customer service on billing and collections.

3. Purchasing

· Request and evaluate supplier quotations.

· Prepare and issue purchase orders.

· Track and follow up on orders, deliveries, and backorders.

· Assist with inventory stock level monitoring and replenishment.

· Maintain records of supplier contracts and pricing.

4. Payroll

· Prepare and process monthly payroll in compliance with statutory requirements.

· Ensure accurate calculation of wages, overtime, incentives, and deductions (EPF, SOCSO, EIS, PCB).

· Generate and submit statutory contributions and related reports.

· Maintain employee payroll records and ensure confidentiality.

· Assist in annual EA form preparation and submission.

5. Administrative Support

· Manage office supplies, service contracts, and administrative purchases.

· Handle company documentation, filing, and record-keeping.

· Coordinate logistics, travel bookings, meeting arrangements, and events.

· Assist with employee onboarding, leave records, and HR documentation.

· Provide general support to finance, HR, and management as required.

Requirements

· Diploma/Degree in Accounting, Finance, Business Administration or related field.

· 2-3+ years of experience in a similar multi-function role.

· Strong knowledge of basic accounting principles and payroll regulations.

· Proficiency in accounting and payroll software (e.g., SQL).

· Advanced MS Excel and good working knowledge of Microsoft Office.

· High attention to detail, integrity, and discretion with confidential information.

· Ability to prioritize tasks and work independently with minimal supervision.

Working Conditions

· Full-time, office-based position.

· Standard working hours; may occasionally require extended hours during month-end or audit periods.

Job Types: Full-time, Permanent

Pay: RM3,000.00 - RM4,000.00 per month
