JOB DESCRIPTIONS
Document Control & Management :
- Create and maintain a systematic and organized filing system for all project documents, both physical and digital.
- Control the flow of all project-related paperwork, including drawings, specifications, contracts, and change orders.
- Ensure all documents are properly numbered, version-controlled, and distributed to the correct team members.
Correspondence & Communication :
- Assist the Project Manager and team with drafting, proofreading, and distributing official project correspondence (emails, letters, memos).
- Maintain a log of all incoming and outgoing correspondence to track communication history.
- Schedule and coordinate project meetings, and prepare and distribute meeting minutes.
Form & Filing Management :
- Be responsible for the completion, submission, and tracking of all project forms, such as daily reports, inspection reports, and non-conformance reports (NCRs).
- Ensure all necessary forms are filed correctly and in a timely manner.
- Assist in preparing documentation for project closure and handover, including final reports and as-built drawings.
Administrative Support :
- Provide general administrative support to the project team, including data entry, photocopying, and handling office supplies.
- Assist in managing the project budget by tracking and reconciling invoices, purchase orders, and expenses.
Collaboration :
- Work closely with the Project Manager, QA / QC Officer, and other team members to ensure all documentation requirements are met.
- Act as a central point of contract for administrative inquiries from team members and subcontractors.
JOB SPECIFICATIONS
Experience : A minimum of 2 - 3 years of experience in an administrative or project-related support role, preferably in the construction or engineering industry.
Education : A Diploma in Administration or a a related field.
Skills :
- Exceptional Organizational Skills : Meticulous and highly organized with a strong attention to detail.
- Proficiency : Excellent command of Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management systems.
- Communication : Strong written and verbal communication skills in both English and Malay.
- Time Management : Ability to manage multiple tasks and prioritize work effectively in a fast-pace environment.
Attributes : Proactive, reliable, and a team player. Must be able to work independently and take initiative to ensure all tasks are completed.
Job Type: Contract
Contract length: 12 months
Pay: RM1,700.00 - RM2,000.00 per month
