- Maintain and organize all project documentation (e.g; contracts, drawings, correspondence, RFIs, submittals)
- Ensure documents are up-to-date and easily accessible.
- Manage version control and filing system (physical and digital)
- Assist the Project Manager in coordinating with clients, consultants, contractors and suppliers.
- Prepare meeting agendas, take minutes and track action items.
- Support internal team communication and scheduling.
- Compile weekly or monthly reports on site progress, manpower and material delivery.
- Handle emails, calls and correspondence related to project matters.
- Organize travel, meetings and and appointments for project personnel.
- Order office supplies or site necessities.
- Assist with issuing purchase orders and delivery tracking.
- Help verify invoices against deliveries or work done.
- Maintain records of permits, licenses and safety documentation (e.g; safety induction forms, inspection checklist)
- Support the team in ensuring regulatory and contractual compliance.
- Assist in preparing and submitting variation orders (VO), extension of time (EOT) requests, and claims.
- Ensure supporting documents are collected and submitted accurately.
