Job Summary
Coordinate with the Head of Property Management & Services to develop and carry out occupational safety and health policies. Coordination of all applicable legislative, regulatory, contractual, and corporate sustainability duties, as well as the establishment of a joint strategy direction for overall sustainability to align with and achieve the organization's goals and objectives. Documentation, meeting proposal preparation, and day-to-day cooperation with relevant departments to ensure departmental goals are met.Job Description
Key Responsibilities:
- Provide a yearly budget and cost program to manage the department for improvement and day-to-day operations.
- Execute the budget in a more prudent manner in terms of spending and cost savings.
- Work with Group Finance on yearly budgeting, including and not limited to health, safety and sustainability the PMS.
- Manage internal stakeholders in providing information and guidelines on health and safety practices.
- Provide internal stakeholders and tenants with updates on sustainability programmes related to building facilities.
- Support internal stakeholders and tenants on sustainable programmes initiated by BPMB and its subsidiaries.
Occupational Health & Safety:
- Coordinate with regulating bodies such as DOSH, DOE and BOMBA. Manage OSHA regulatory reporting and record keeping requirements.
- Prepare emergency response program for quarterly basis and reporting to BPMB Safety & Health Committee and Board in necessary.
- Update environmental, health and safety policies in compliance with regulatory, corporate, & insurance requirements.
- Lead Emergency Response Program in the planning, administration and coordination of emergency activities.
- Lead investigations on environmental, health and safety non-compliance incidents and provide urgent response to operational issues. Conduct site inspections, health checking of life safety devices/system, audits and identify areas for improvements.
- Monitor the effectiveness of the site related rules defined in the EHS Plan, revised as necessary and take appropriate actions in the event of non-compliance.
- Provide consultative services to the Management on workers’ compensation claims and liability issues.
- Ensure update of the EHS communication processes, including preparation and facilitation of Safety Committee Meeting.
- Ensure full implementation/update of the risk assessment/ method of statement identification, preparation, review and communication processes.
- Ensure the Permit-To-Work processes are updated and safety inspection of contractor’s work.
- Ensure that all Accidents/Incidents are recorded, investigated and analyzed to prevent reoccurrence.
- Provide training manuals, materials to staffs, tenants and contractors.
- Prepare Annual budget based on the improvement needed from safety perspective, monitor and control EHS budget.
- Update regularly the health and safety portal, including to promote newsletters of the functional.
Sustainable:
- Develop/update department strategic direction for entire sustainability to align and meet company’s goals and objectives and to ensure compliance with local state, federal and environmental laws.
- Develop/update and execute strategies to address energy use, resource conversation, recycling, waste elimination and sustainability campaign and to ensure the adoption and implementation of sustainability standards and commitment in all business units.
- Prepare/update documents, calculations, reports etc. for project execution based on green sustainable requirement including budgets and schedules.
- Evaluate and proposed for sustainability projects, considering factors such as cost-effectiveness, technical feasibility and integration with other initiatives.
- Develop/update sustainability frameworks, policies and processes for identifying, managing and monitoring sustainability issues and initiatives across the organization work along with MIND’s team.
- Building awareness and understanding of sustainability issues to all stakeholders through effective communication.
- Address environmental sustainability issues to relevant departments and operating units for immediate responses and actions.
- Act as the leader and go-to sustainability subject matter expert, monitoring emerging trends, schemes, programmes, and issues, and communicating and educating others on sustainability topic.
System Method and Documentation:
- Liaise closely with relevant departments in the compilation, verification, handling intake, scanning, verification and storing documents.
- Filing and archiving relevant documentation, retrieving files for other employees and customers when needed.
- Controlling the flow of documents in and out of the department, reporting errors or developments regarding document storage.
- Ensuring the secure destruction and disposal of sensitive documents.
- Ability to work autonomously using established procedures, seeking guidance where needed.
- Ensure integrity of original documents through processing and marking of prepared projects.
- Ensure agreement of documents and corporate records with legal, financial and regulatory guidelines.
- File, record, recover, archive, scan and maintain digitalize documents in shared folder.
- Updating and maintaining document management systems and physical records.
Job Requirement
- Bachelor’s Degree in Sustainability, Property/Facilities Management, Science, HSE or any relevant subject or equivalent.
- Competency in energy management/sustainability.
- Minimum 5 years working experience in Property/Facilities Management industry.
- Experience in Energy Management God Standard (EMGS) certification will be an added advantage
- Possess Certified Energy Manager certification under the ASEAN Energy Management Scheme (AEMAS), or equivalent.
- Proficient in Microsoft Office.
- Good interpersonal skills with strong analytical and trouble-shooting capabilities.
- Able to work independently with minimum supervision.
- Have the knowledge in Property/Facilities Management and Occupational Safety and Health.
- Good command in both spoken and written English and Bahasa Malaysia.
- Possess good interpersonal skills, ability to interact with all levels.
- Basic analytical experience.
- Able to work independently and in a team environment.
- Able to prioritize responsibilities and adhere to deadlines.
