JOB PURPOSE
The Administration Executive supports the Manager of the Centralised Programme Office in ensuring the efficient administration of academic programmes in the University. The role involves managing student records, coordinating academic processes and providing administrative support to enhance student and faculty experience in line with university policies.
KEY DUTIES & RESPONSIBILITIES
1. Academic Administration
- Distribute class timetables, examination schedules and academic notices to students via email/university portals.
- Process and update student records in the College Management System (CMS), including add/drop module requests, student withdrawals, deferments and inter-programme transfers, and study plan creation and updates for new and existing students.
- Register students for modules and set global marks breakdown in CMS.
- Monitor and enforce class attendance policies, issuing warning letters for non-compliance.
- Process and track student leave applications.
2. Student Support and Engagement
- Create and manage WhatsApp groups for new cohorts to facilitate communication until the end of Semester 1.
- Coordinate student feedback mechanisms, including end-of-module evaluations
- Assist in resolving student queries related to academic processes.
3. Compliance and Reporting
- Ensure data accuracy in CMS and generate reports on student attendance, withdrawals and deferments.
- Maintain confidentiality and compliance with Malaysian Qualifications Agency (MQA) and university policies.
4. General Administration
- Assist in organising programme-related events (e.g., orientations, workshops).
- Liaise with faculty, departments and external stakeholders, as needed.
- Perform other duties as assigned by the Manager.
JOB SPECIFICATIONS/REQUIREMENTS
Education & Experience
- Degree in Business Administration, Education Management, or related field.
- 1–3 years of experience in academic administration, preferably in a private university/college.
- Experience in handling student records and timetabling systems.
- Familiarity with College Management Systems (CMS) or Student Information Systems.
- Knowledge of MQA compliance and academic regulations preferred.
Skills & Competencies
- Technical: Proficiency in Microsoft Office (Excel, Word, Outlook) and database management.
- Communication: Fluent in English and Bahasa Malaysia (written and spoken).
- Organisational: Strong multitasking, attention to detail and time management skills.
- Soft Skills: Customer service-oriented, problem-solving and teamwork.
Job Type: Full-time
Pay: RM2,500.00 - RM3,500.00 per month
