As a Secretary to the CEO, you will play a vital role in supporting the Chief Executive Officer in their day-to-day activities. Your exceptional organizational skills, attention to detail, and discretion will contribute to the CEO's efficiency and effectiveness. This position requires a high degree of professionalism and the ability to manage sensitive information with confidentiality.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative and secretarial support to the CEO, including managing their calendar, coordinating meetings, and prioritizing appointments.
- Communication: Handle all incoming and outgoing correspondence, emails, and phone calls on behalf of the CEO. Draft and review documents, memos, and reports as needed.
- Travel Arrangements: Arrange travel itineraries, accommodations, and logistics for the CEO's business trips, ensuring a seamless travel experience.
- Meeting Coordination: Schedule and coordinate meetings, both internal and external, and prepare necessary materials, ensuring the CEO is well-prepared for each engagement.
- Document Management: Maintain and organize confidential files, records, and documents. Ensure timely retrieval and efficient record-keeping.
- Gatekeeping: Act as the first point of contact for the CEO, managing their office visitors and screening incoming calls and inquiries.
- Event Planning: Assist in the planning and coordination of events, conferences, and other corporate gatherings, as required.
- Information Management: Stay updated on industry trends and relevant news, and prepare briefings for the CEO as needed.
Qualifications:
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred
- Proven experience as an executive secretary or administrative assistant, with a minimum of 2 - 3 years supporting top-level executives.
- Proficiency in office software and communication tools, including Microsoft Office Suite and calendar management.
- Strong organizational and multitasking skills, with a keen eye for detail.
- Exceptional written and verbal communication skills.
- High level of discretion, integrity, and the ability to handle confidential information.
- Excellent time management and prioritization abilities.
- Adaptability to changing priorities and a fast-paced work environment.
- Strong interpersonal skills and the ability to interact with a diverse range of individuals.

Pay: RM2,500.00 - RM4,000.00 per month
