Reports to : Quality & Compliance Manager
Reporting to the Quality & Compliance Manager, the Quality Specialist is primarily responsible for assessment and reporting of supplier deviations and internal damage. The specialist ensures the rights & obligations of the organization are safeguarded and members of the quality perform their activity with competence & integrity.
1. Outbound deviation
- Monitor the activities of the Quality Support and ensure adherence to established procedures.
- Review the store damage sheet on a monthly basis for accuracy & completeness and coordinate with Quality Support for resolution of queries & corrections.
- Conduct an analysis of incorrect claims against the business and report to QSC in a timely manner.
- Analyze parties responsible for claims against the business and report to the respective parties in a timely manner.
- Ensure rights, obligations and interests of the Organization are protected.
2. Internal damage
- Liaise with Recovery team to ensure internal damage cases have been appropriately identified.
- Ensure Internal Damage tracker is accurate, complete and up to date with relevant information.
- Conduct root cause and responsible party investigations for internal damage cases. Furthermore, provide recommendation for process improvements to reduce claims arising from the Organization.
- Ensure weekly and monthly reporting targets for the Organization and IKEA are met.
3. Value added services
- Liaise with Assistant Manager of Quality & Compliance for smooth completion of value-added services such as heat treatment, inspection, labelling, additional packaging etc.
- Closely supervise activities of Compliance Coordinators to ensure adherence to procedures and safeguarding of customer inventory.
- Ensure internal reporting to Quality & Compliance Manager and DC Manager are met.
- Coordinate with Operations department/Operations Support to ensure VAS activities are aligned with operational requirements and SOPs.
- Ensure necessary spot and quality checks during performance of VAS activities are performed by the Compliance Coordinators.
4. External stakeholder relationship
- Continuously communicate with QSC for incorrect and/or rejected claims.
- Weekly and/or monthly report necessary quality deviations in a timely and accurate manner with QSC.
- Maintain business relationship with QSC.
5. Learning and development
- Provide recommendation on training programs for Warehouse Co-workers based on analysis of quality deviations and claims traced to the Organization.
- Guide subordinates on performance of activities in an efficient & effective manner
- Provide on-the-job training for relevant Quality Support and Compliance Coordinators.
6. Standard operating procedures
- Whenever required, update the relevant standard operating procedures and work instructions.
- Communicate process change to the relevant stakeholders to ensure effective implementation.
7. Health and safety
- Practice a safe working culture.
- Report any incident or disciplinary issues to the DC Manager and HSSE team.
Requirement:
- Knowledge of the supply chain management.
- MY and other applicable labor laws and regulations.
- Organized and set priorities.
- Relationship management and communication skills.
- Leadership and clear reporting skills.
- Minimum of bachelor’s degree in relevant field.
- 3 years of experience within the quality management in supply chains.
- Competent with MS office.
- Comprehend and ensure compliance with policies and procedures.
- Communicate honestly and with clarity.
- Build and manage interpersonal relationships with all internal stakeholders.
- Ability to delegate works
