Purchasing Assistant are responsible for sourcing and buying goods and services for their employer to use in daily operations or resell. They play a key role in maintaining quality standards and cost efficiency within an organization. Here are some of the responsibilities of a purchasing officer:
- Research: Research potential vendors and assess the market
- Compare and evaluate: Compare and evaluate vendors and suppliers, including their offerings and quality
- Negotiate: Negotiate with vendors for optimal prices and contract terms
- Maintain records: Create and update vendor and supplier databases, and maintain records of purchased products, delivery information, and invoices
- Coordinate: Coordinate tasks within the purchasing department, and collaborate with internal departments and shipping agencies to ensure timely deliveries
- Ensure compliance: Ensure compliance with deadlines, budgets, and quality of goods, and align purchasing activities with government standards and regulations
- Monitor stock levels: Monitor stock levels and place orders as needed
- Report: Report budget expenditure and purchasing analysis to management
