- Provides operational assistance and coordination for operational related matters.
- Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.
- Manage the overall administrative tasks related to IE at the related site.
- Plan, coordinate, manage, and provide support to meet operational goals and excellence.
- Preparing the monthly Unbilled Revenue for review by the Business Manager before submission to Finance.
- Uphold and take good custody of petty cash.
- Issue invoice or partial invoice to client based on billing summary provided by operation or project team.
- Responsible in opening, maintaining, updating and closing of job files.
- Dispatch final reports and invoice to clients by soft and/or hard copy.
- Prepare I-expenses for staff on BOSS system and also maintaining and update front loading in Boss system.
- Compile and verify for staff OT’ claim for approval by respective business manager.
- Update utility bill in the share point.
- Preparing/generate BLM Inspection Reports for review and approval by the Operation Executive.
- Updating of invoice on website. (Navarik & BP Gcas)
- Attend internal and external training where required.
- Provide miscellaneous administrative support as required.
- Adhere to SGS Code of Integrity policy.
- Maintain a quality and always vigilant of safety awareness
- Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling and ensuring at all times the compliance of the QMS and is fully implemented in accordance to ISO 17020 & MIBAS policy, 17065 & ACB policy and ISO17025 & SAMM policy"(where applicable/required).
- Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when carry out your responsibilities at all times to ensure compliance to the HSE requirements.
- Perform any other responsibilities as assigned by the reporting manager and/or Senior Management
Qualifications
- Certificate or diploma in any field of study from a recognized college/university.
- Knowledge in using computer/MS Office is a prerequisite and exposure to BOSS system administration is an added advantage.

- Possess prior experience in delivering related task and execute similar role.
- Proficient in English with good communication and report writing skills.
- Good organization skills and able to prioritize on the multiple task.
- Able to work under minimal supervision.
- Knowledge in using computer/Microsoft Office is a prerequisite.
- Good personality, independent and a good team player.
- Ability to work at odd hours when called upon.
