To ensure the smooth execution of day-to-day operations, support cross-functional departments, and maintain efficient internal processes. The Operations Executive plays a vital role in administrative support, internal coordination, and ensuring compliance with standard operating procedures.
Responsibilities
- Handle administrative tasks like filing, data entry, document preparation, and follow-ups.
- Support the team in managing client onboarding and maintaining proper records.
- Ensure all operational work follows internal procedures (SOPs).
- Coordinate with other departments (compliance, business development, finance) to ensure smooth operations.
- Follow up on pending tasks and deadlines with relevant team members.
- Assist in preparing documents for regulatory submissions (e.g. SC, SSM, BNM).
- Read and understand relevant regulations, circulars, or internal policies to support compliance tasks.
- Report any issues or potential non-compliance to the manager.
- Conduct simple research on regulatory requirements, operational best practices, or business-related topics.
- Review and summarise guidelines, circulars, or policy updates from authorities or industry bodies.
- Help update SOPs and templates based on the latest requirements.
- Monitor office supplies and coordinate with external vendors or service providers.
- Assist in arranging meetings, internal events, and general office matters.
- Maintain up-to-date operational records (both physical and digital).
- Prepare simple reports or trackers for internal use and management.
Qualifications
- Bachelor’s degree or diploma in Business Administration, Operations, Finance, or a related field.
- 1–3 years of experience in an operational, administrative, or coordination role.
- Strong attention to detail and organizational skills.
- Good communication and interpersonal skills.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with Google Workspace or other business tools is an added advantage.
- Experience in a regulated industry (finance, insurance, fund management, etc.) and familiarity with regulatory bodies such as SSM, SC, or BNM will be the additional advantage.
