Responsibilities
- Front Desk Management & Customer Service:
- Greet and assist students, parents, and visitors promptly and professionally.
- Respond to in-person, telephone, and email inquiries regarding admissions, programmes, students and university services.
- Provide accurate information and direct inquiries to the appropriate departments or personnel.
- Provide exceptional customer service to all students, staff, and visitors.
- Handle complaints or issues promptly and escalate them to the appropriate personnel when necessary.
- Assist students with general inquiries about campus resources, events, and services.
- International Student Support & Administration:
- Assist with immigration-related administrative tasks, including collecting, submitting, and tracking passports and visa documents.
- Maintain accurate records and logs of document movement in accordance with institutional policies.
- Coordinate transportation arrangements, including airport pickups for new students during intake periods.
- Provide on-ground support during student arrivals to ensure a smooth and welcoming experience.
- Assist students with accommodation enquiries, provide information on available options, and refer them to approved accommodation providers.
- Student Life, Engagement & Event:
- Support student life programmes and activities that foster inclusivity, engagement, and community building.
- Provide administrative and logistical assistance to student clubs, societies, and associations.
- Assist in planning and coordinating major campus-wide events, including Welcome Week and Graduation ceremonies.
- Manage communications, vendor coordination, event logistics, and on-site operations to ensure high-quality, student-centred events.
- Assist with the coordination and delivery of student induction and orientation activities, including managing communications, logistics, materials preparation, schedule updates, and providing support to new students during the on-boarding period.
- Coordinate the production and distribution of student ID cards, ensuring timely issuance and an organized process for all students.
- Administrative & General Office Support:
- Assist with the preparation and processing student documents, student administration forms, and letters.
- Assist with Student ID card application and online enrolment.
- Maintain and update student records, databases and Student SharePoint accurately.
- Coordinate and manage the filing system for student records, ensuring all documents are filed correctly and are easily accessible.
- Handle incoming and outgoing email and deliveries related to student administration and relevant information for student.
- Prepare and distribute informational materials, brochures, a application forms.
- Liaising with Finance, IT & Facilities and any other department for any student support services.
- Support other administrative tasks as assigned by the Student Life and Academic Affairs.
- Perform any other duties as allocated by the line manager in consultation with the post holder, including supporting institutional events and compliance with university procedures.
Job Type: Full-time
Pay: RM2,500.00 - RM3,000.00 per month
