We are seeking a talented Human Resource Specialist to join our fast-growing team in the Asia-Pacific region. In this role, you will collaborate closely with HR, sales, and customer service teams to recruit top talent and build a high-performing team to support our regional growth. Your expertise will be instrumental in developing effective hiring strategies, onboarding new employees, and fostering a positive workplace culture across our Asia-Pacific operations.
Please note that this position is currently remote but will transition to an in-office role in our Kuala Lumpur office.
Key Responsibilities:
Recruitment and Onboarding
- Manage the full internal recruitment cycle for Knit’s regional offices in Singapore, Malaysia, Philippines, and Indonesia, including job postings, candidate sourcing, screening, interviewing, and selection to support team growth.
- Coordinate onboarding processes for internal hires, preparing employment contracts, conducting orientation sessions, and ensuring seamless integration into Knit’s regional teams.
- Maintain accurate recruitment records in applicant tracking systems, ensuring data consistency and alignment with regional hiring goals.
Employee Relations and Compliance
- Provide guidance on employee relations issues, mediating conflicts, addressing grievances, and ensuring consistent application of company policies across Singapore, Malaysia, Philippines, and Indonesia.
- Ensure compliance with labor laws in multiple jurisdictions, including Malaysia’s Employment Act 1955, Singapore’s Employment Act, Philippines’ Labor Code, and Indonesia’s Manpower Act, staying updated on regulatory changes in each country.
- Prepare and submit statutory HR filings (e.g., EPF, SOCSO, EIS in Malaysia; CPF in Singapore; SSS, PhilHealth, and Pag-IBIG in the Philippines; BPJS in Indonesia), ensuring timely and accurate compliance.
HR Administration and Payroll Support
- Administer employee benefits programs, including leave management, medical insurance, and other statutory benefits, ensuring accurate documentation and employee satisfaction across regional offices.
- Collaborate with payroll teams to validate employee data, resolve payroll discrepancies, and ensure accurate salary, deductions, and benefits processing for internal staff in multiple countries.
- Maintain employee records in HR systems, ensuring data accuracy, confidentiality, and compliance with data protection regulations (e.g., Malaysia’s PDPA, Singapore’s PDPA, and Philippines’ Data Privacy Act).
Training and Development
- Identify training needs and coordinate professional development programs to enhance employee skills and support career growth across regional teams.
- Support the implementation of performance management systems, including goal-setting, appraisals, and feedback processes, tailored to regional needs.
- Develop and maintain HR policies, handbooks, and procedures to promote a cohesive and compliant workplace culture across Singapore, Malaysia, Philippines, and Indonesia.
Regional Collaboration and Process Improvement
- Work closely with regional offices in Asia (China, Singapore, Malaysia, Philippines, and Indonesia) to align HR strategies and support team expansion goals.
- Partner with cross-functional teams to streamline HR processes, reduce administrative errors, and enhance employee experience across the region.
- Act as a point of contact for regional management, providing HR expertise and resolving inquiries promptly and professionally in both Mandarin and English.
Qualifications
- Proficient in both spoken and written Mandarin and English, with excellent communication and interpersonal skills to engage with diverse teams across Singapore, Malaysia, Philippines, and Indonesia.
- 3-5 years of experience in general HR functions, with a focus on internal recruitment, preferably in a regional or multi-country business environment.
- Strong knowledge of labor laws and statutory compliance requirements in Singapore (CPF, Employment Act), Malaysia (EPF, SOCSO, EIS), Philippines (SSS, PhilHealth, Pag-IBIG), and Indonesia (BPJS, Manpower Act).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS systems; experience with talent acquisition tools, or payroll software is a plus.
- Exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced, multi-country environment.
- Bachelor’s degree in Human Resources, Business Administration, or a related field is strongly preferred; professional certifications (e.g., MIHRM, SHRM) are a plus.
