Job Scope: HR Admin Executive / Assistant
1. HR Administration
· Maintain and update employee records, both in physical files and HR systems.
· Prepare HR-related documentation such as employment contracts, confirmation letters, and resignation acknowledgments.
· Assist with onboarding and offboarding processes, including orientation and exit interviews.
· Support payroll processing by collecting attendance, leave, and overtime data.
2. Recruitment Support
· Assist in job posting, resume screening, interview scheduling, and candidate communication.
· Coordinate with recruitment agencies or platforms when necessary.
· Maintain a database of job applicants and recruitment progress.
3. Employee Relations
· Support employee engagement activities and internal communications.
· Help resolve day-to-day employee queries regarding policies, benefits, and HR procedures.
· Assist in handling employee grievances in coordination with HR management.
4. Office Administration
· Handle general administrative tasks such as filing, stationery procurement, and office maintenance coordination.
· Manage company correspondence, phone calls, and document dispatch.
· Support travel and accommodation arrangements for staff when required.
5. Compliance and Reporting
· Ensure HR practices comply with labor laws and internal policies.
· Prepare reports related to HR metrics, such as turnover, attendance, and leave balance.
· Assist with audits and HR documentation checks.
Job Requirements:
· Diploma or Bachelor's Degree in Human Resource Management, Business Administration, or related field.
· Executive: Minimum 2 years of relevant experience in HR or administrative roles.
Assistant: Fresh graduates are welcome; internship experience in HR is a plus.
· Proficient in English and Bahasa Malaysia. Mandarin is an advantage.
· Familiar with Microsoft Office (Word, Excel, PowerPoint).
· Experience using HRIS or payroll systems is a plus.
· Strong communication and interpersonal skills.
· Detail-oriented, organized, and able to handle confidential information.
· Good time management and multitasking abilities.
· Proactive, responsible, and a team player.
Job Types: Full-time, Permanent, Fresh graduate
Pay: RM2,000.00 - RM4,500.00 per month
