Seeking detail-oriented and proactive Documentation Specialists to manage and oversee the preparation, submission, and follow-up of various documents required for grants, certifications, assessments, and regulatory approvals. This role involves a combination of administrative support, light research, document control, and liaison with government agencies and other stakeholders to ensure timely compliance and accurate documentation.
Key Responsibilities:
- Documentation & Filing:
- Prepare, compile, and submit applications for grants, certifications, permits, assessments, and renewals.
- Maintain and organize accurate records and files (physical and digital) of all regulatory and grant-related documentation.
- Track document expiration dates and manage timely renewals and updates.
- Research & Analysis:
- Conduct research on applicable government regulations, grant opportunities, and compliance requirements.
- Stay updated on changes in laws and regulations relevant to the organization’s certifications, operations, or funding.
- Correspondence & Liaison:
- Act as the primary point of contact for communication with government agencies and regulatory authorities.
- Follow up on application status, respond to agency inquiries, and coordinate inspections or audits if and when required.
- Reporting & Support:
- Prepare progress reports, compliance summaries, and internal updates on pending and approved submissions.
- Support internal departments by providing required documents or information for operational or strategic needs.
Qualifications:
- Bachelor's degree in Public Administration, Business, Legal Studies, or a related field (or equivalent experience).
- Experience in regulatory affairs, grant management, or administrative roles dealing with official documentation.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and document management systems.
- Familiarity with government portals, online application systems, or regulatory frameworks is an advantage.
